Accommodation Administration Assistant


Location: Kingston Upon Thames


Salary: £13.12


Duration: 6 months


Working pattern: 35 hours per week, from 9am-5pm


Contract type: Temporary


Adecco is currently recruiting for an Accommodation Administration Assistant to join a prestigious university based in Kingston Upon Thames


Job Purpose


To provide information to applicants, students and their families/advisers on all aspects of student accommodation via email, telephone and face-face drop-ins.


To provide a triage support service to students presenting with accommodation difficulties, providing solutions or referring to additional specialist support as required.


To contribute to the production and dissemination of accommodation information through presentations, publications and online resources to raise the awareness of relevant accommodation options to students and other stakeholders


Essential Skills


Halls:



  • Book rooms; email contract completion instructions and ensure contracts are complete.

  • Close and open rooms on the booking system, liaising with the halls management team as required.

  • Complete room moves on the booking system as required by halls management team.

  • Complete direct room swaps and room extensions on the booking system ensuring students have completed the halls licence.

  • Manage Halls waiting-list.

  • Fee-assess halls bookings on a regular basis for the Finance Team

  • Apply rent credits and charges to students accounts where appropriate


Online content:



  • Help keep external accommodation webpages up to date

  • Help keep the internal accommodation My Kingston pages up to date

  • Maintain up to date standard response templates and FAQs on The HUB



Student Pad



Maintain property listings using the Studentpad system, ensuring that relevant and up-to-date certification is in place and relevant housing, health and safety legislation is complied with for all properties.


Open days/Recruitment events:




  • Actively participate in University recruitment events, such as Open Days, to promote the work of the service and provide information and advice on accommodation options.



Communications:




  • To contribute to the production and dissemination of accommodation information through presentations, publications and online resources to raise the awareness of relevant accommodation options to students and other stakeholders.

  • Meet with students in weekly drop-in sessions

  • Monitor accommodation phone lines and Respond to student queries within the stated response time

  • Send disciplinary letters (written by the Campus Experience and Service Development Manager) via RMS Mercury
