Main Purpose of Role

* Perform varied administrative functions to achieve levels of service agreed with peers, customers and any other interested parties
* Provide administrative support to the team manager and the rest of the Ealing team as required.
* Act as a central contact point for visitors, colleagues and suppliers.
* Provide a specific focus on raising invoices and the timely collection of internal and external debt.
* Act in place of the Administration Manager in times of holiday / absence

Key Accountability's

  • Carry out general administration duties and use the available systems efficiently in regard or order processing, invoicing, query resolution and debt management.

  • Ensure KPI's relating to bad debt and debtor days are achieved.

  • Supply reports and documentation as required. Typical reports may cover, but are not restricted to; debt, invoice queries, invoicing values, purchase order values

  • Ensure all relevant internal and external targets (eg KPI's / SLA's) are always achieved

  • Carry out other duties as identified from time to time by the Administration Manager.

  • Act as the central contact point for site facility bookings (eg parking and meeting rooms)

  • At all times, adopt a safe behaviour by exercising due regard for the health and safety of yourself, colleagues and clients, in line with the Company's policies and procedures.

  • Ensure full compliance with the Company's Code of Integrity & Professional Conduct, and at all times adopt behaviour in accordance with SGS UK's Equality & Diversity policy.

  • Advanced MS Office skills



  • Experience within an Administration function

  • Experience in planning and prioritising workloads


  • Experience of working with the general and wide ranging enquiries from both businesses and the general public.

  • Experience preparing reports and invoices



  • GCSE Mathematics & English Language, or equivalent - Grade C of higher


  • General business / business studies qualification

  • Entry level accounting qualification.
