Purpose of Role:

a) Provide support services in order to add to the overall efficiency and effectiveness of Planning Services, through: * Administrative support * Under direct close supervision of the Planning Process Team Leader, other service managers, or their direct reports, to work on specific projects and initiatives appropriate to the post * Go on site to display notices and take photographs

b) To provide a high standard of service to customer care to all users of the planning service and colleagues within Planning Services.

Key Accountabilities:

Systems & Procedures

. To provide administrative and clerical support to the Planning Process Team Leader, other service managers or their direct reports, and colleagues in Planning Services.

. To be competent in the use of IT systems for email and diary management and good computer literacy in MS Office Pro (Word, Excel, and PowerPoint).

Service Support

. To draft, prepare and circulate documents (meeting notes, agendas and reports, notices, memos) in Plain English.

. Contribute to the planning, organising and monitoring of work by diary management and coordination.

. To assist with the arranging of meetings (e.g. pre-application meetings, committee meetings, user group meetings) and record information.

General Support on Improving the Service, Customer Care

. To deal directly with customers face to face and via telephone and correspondence/e mail and if unable to respond to the query, to pass on to the relevant member of the team.

. To carry out any other work that may be appropriate to the post as may be reasonably required by the Planning Process Team Leader, other service managers, or their direct reports.

. To ensure compliance with all management processes and procedures including Health & Safety and Diversity and Equality policy.
