Main Purpose of the Job



To provide customer service and administrative support to services within the Public Places Directorate, which are supported from Freighter House, in order to assist with the effective delivery of these services and to provide a high quality of service to deal with all customer enquiries and requests regarding these services.





  1. Duties and Responsibilities




  1. Access and input information into "Task" the Councils Corporate Financial System. This will include raising orders to suppliers of goods and services and raising debtor invoices to customers.

  2. Recording, scanning and processing of invoices and making any necessary adjustments to ensure expenditure is recorded correctly and commitments and accruals are accurate.

  3. Maintain records and arrange for collection and disposal of clinical waste using the Councils contractor

  4. Handle complaints, provide appropriate solutions and alternatives within the time limits and follow up to ensure resolution. Assess customers' needs to achieve satisfaction

  5. Input information onto Weights data base systems in order to produce Waste Data Flow Quarterly Return, including the Essex County Claim and associated creditor/debtor invoices.

  6. Monitor "Merridale" Freighter House fuel system and ensure sufficient fuel is available and raise purchase order for fuel as and when required.

  7. Record and collate data within Salesforce for missed bin and bin delivery updates

  8. Assist with recording, checking and processing of Special/bulky collections using Salesforce and take credit/debit card payments for these services either through Salesforce Worldpay or Paris

  9. Effectively manage large amounts of incoming calls from the general public concerning services supported from Freighter House, by telephone, email and face to face. Ensuring communication procedures, guidelines and policies are followed at all times.

  10. Access and input information into "Jaarma" the Councils workshop System. This will include raising orders to suppliers of goods and services and raising debtor invoices to customers.

  11. Recording, scanning and processing of invoices and making any necessary adjustments to ensure expenditure is recorded correctly and commitments and accruals are accurate.

  12. Record new vehicle updates and vehicle disposal on Jaarma as well as the ordering and fitting of tyres. Maintain records and input of workshop job sheets, inspections and outstanding jobs in progress.

  13. Input stock requisitions into Jaarma to be able to add and issue stock for relevant jobs.

  14. Instruct and update work completed by outside contractors.

  15. Monitor MOT and Taxi Inspections via on the online service

  16. All callers and visitors to be dealt with in a polite and professional manner and in line with the Councils Customer Care Policy.

  17. Contribute ideas, skills and knowledge to help improve the customer and business. Carry out these and any other administrative duties requested by the Business Support Manager in a competent manner support offered by the team.
