Working Hours - 37.5 hours per week, Mon-Fri 9am-5pm.

  • Primarily provide effective and efficient business support and technical administrative duties, associated to the functions carried out within the Property Maintenance Department.

  • To effectively use relevant ICT systems to administer and manage trade resources and capacity for the control, distribution and completion of all work, creating and updating of all operational records, files, statistical and statutory information associated with all operational procedures.

  • Administer and process debtor and creditor payments to ensure accurate management of service budgets ensuring all queries arising from work order completions, debtors and creditors are managed efficiently and effectively.

  • Effectively manage enquiries on a range of group services at the first point of contact without reference or referral to other staff.

  • Assist the Senior Business Administrator in the allocation of works orders for all operational services, liaising with operational staff on day-to-day issues and queries to ensure the efficient and effective delivery of the service.

  • Working alongside respective Team Leaders to effectively deliver cyclical servicing programmes ensuring statutory compliance is achieved.

  • Liaise effectively with customers to ensure all services are delivered in line with all service standards ensuring effective communication is maintained between the customer and internal staff for the effective planning and deployment of all resources to meet the needs of the customer.

  • Assist in the monitoring of all operational administration systems ensuring key data inputs are achieved to ensure robust and accurate performance data is produced in a timely fashion.

  • Assist in the planning and management of fleet vehicles and associated management information systems.

  • Taking minutes of meetings and providing reports.

  • To undertake any duties of a similar level of responsibility as may be required from time to time.

  • When required, participate in new initiatives that will lead to improvement in performance and service delivery.
