The post holder will be part of a multi-disciplinary team that covers the Specialised Commissioned services within the geography of the Midlands and maintains responsibility for patients placed outside of the region.

The post holder will provide administration support to the team that works as part of the Midlands as well as being part of the national network involving the other 6 regions in England.
The Midlands region commissions specialised services for:
* Low, medium and high secure inpatient provision
* CAMHS inpatient and Forensic services
* Eating Disorder inpatient services
* Deaf services
* Perinatal inpatient services
* Gender services

The post holder will be the first point of contact, communication and support for a number of directors and staff within the directorate.
Provide specialist secretarial/administration support and advice to the teams and/or Sector by:

* Sorting and prioritising all incoming e-mail and mail, distributing as appropriate. Taking telephone calls for the department and using initiative to deal with phone calls and messages.

* Inputting, monitoring and checking data, required for patient level databases.

* Managing the electronic diary for team members, including arranging and changing appointments, prioritising these as appropriate and other related duties.

* Undertaking administrative duties such as photocopying, and mail-out distributions.

* Organising and planning events as necessary supporting information material

* Supporting teams in provider management and participating in department events.

* Working with all team members in the collection of information for performance monitoring and reporting on provider contracts.

* Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.

* Supplying the relevant information required for financial management, supporting the head of department and teams by checking and sending invoices for payment. Ordering stationery as required.

* Running and collating reports which may include reports to the senior management team as required.

* Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team

* Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessary

* To provide administrative support including when appropriate to all team members to support a range of department initiatives

* Working together with other administrators to provide an effective

Key Relationships (External and Internal)

* To work in partnership with others and as part of cross directorate teams to deliver successful outcomes

* To coordinate activities of other team members in the awareness of the business agenda with specific reference to communication of directorate and corporate activities
