Assistant Centre Manager/ Front of House

£27,000 salary

Mon - Fri 8:30am - 5:30pm

Adecco are delighted to be partnering with a company based in Richmond on the recruitment need for an Assistant Centre Manager/ Front of House. You will be responsible for supporting the business operations manager with day-to-day functions and ensuring customer service excellence is always provided.

Key Responsibilities:

  • Deputise for the Business Operations Manager in her absence.

  • Ensure all day-to-day client needs, requests and feedback are handled effectively to ensure we deliver high levels of customer satisfaction. Emails and telephone calls are taken, and queries dealt with in a timely manner.

  • Oversee the maintenance of records and ensure copies are appropriately stored in line with our Company's GDPR (General Data Protection Regulation) policies.

  • Manage stock and supplies of consumables including raising purchase orders.

  • Handle/process mail and deliveries.

  • Manage different schedules, including conference room bookings and parking requirements, whilst also liaising face to face to process requests for refreshments, courier deliveries, visitors and other client requirements.

  • Responsible for maintaining up to date database to include fire marshals, first aiders, clients' emergency contacts, internal phone list, car park registration spreadsheet, Health & Safety checks, Virtual Offices compliance records etc...

  • Assist in the management of Business Rates expenditure ensuring up to date records are maintained and requests for empty rates relief and SBRR (Small Business Rates Relief) are processed in a timely manner.

  • Be familiar with clients moving in and out, including management of the 'on-boarding' process and office preparation in line with the Company procedures.

  • Responsible for timely preparation of the monthly invoicing process.

  • Impeccable records of service charges, credit card and petty cash purchases.

  • Complete daily housekeeping checks throughout the building to ensure all facilities are clean, tidy, and functioning correctly. Where required, replenish stock of tea/coffee etc.

  • Work effectively with various trades/contractors to ensure high standards of maintenance and arrange reactive works when necessary.

  • Ensure compliance with Health and Safety Policies and all associated statutory requirements throughout the centre.

  • Carry out weekly building checks and update maintenance schedule, oversee completed works.

  • To act as a trained First Aider and Fire Warden (Training provided)

  • Comply with HMRC (HM Revenue & Customs) Anti-Money Laundering Regulations and KYC policies appropriately when setting up new Virtual Office Clients

  • Organise clients' networking events

  • Contribute to social media platforms to grow brand awareness and aim to increase the number of Google reviews from our clients.

  • Conduct viewings in the absence of the Business Operations Manager, therefore a good understanding of our services, terms and relevant pricing is required.

  • Regularly engage with the Business Operations Manager to provide updates of both business and client activities.

  • Assist Business Operations Manager with ad-hoc projects.

  • Provide strong administrative support to the Business Operations Manager when required.
