I am currently recruiting for my market leading, highly prestigious global cosmetics client based in London. They are on the lookout for an experienced Business Assistant to join their busy and dynamic team.

Duties and Responsibilities of the Business Assistant include:

  • Extensive proactive diary management and office admin support

  • Co-ordinating and organising relevant team events

  • Booking regional and international travel & accommodation

  • Management of expenses and PO budgets

  • Building strong internal and external [and international* if applicable] relationships in order to benefit the business and the teams you support

  • Support and/or coordination of international visits from Zone and DMI (Global Leadership Teams)

  • Preparation of documents and presentations for respective Management Committee members

  • Supporting the new starter and leaver process when relevant, including co-ordinating the FIT programme for new team members

  • Support EA and wider assistant community with workload and changing priorities

  • General administration (issues resolution, IT requests, catering, stationery, filing, binding, taxis etc.)

  • Ad-hoc project support

  • General all round PA position - diary management, expense management, booking travel and accommodation, supporting with event organisation, assisting the Executive Assistants when required

What will the Business Assistant get in return?

  • A 2 months contract role, starting as soon as possible with potential extension

  • £25-28k per annum

  • 33 days paid annual leave

Essential Skills/Experience required:

Alongside experience in a similar role and excellent communication skills, you should be confident demonstrating all of the following:

  • Excellent communication and influencing skills with the experience of building relationships across the company

  • Impeccable attention to detail and high degree of accuracy

  • Ability to handle sensitive information with discretion

  • Excellent administration and organizational skills

  • Ability to foresee changes and reprioritize where necessary, experiencing managing change - through rapid growth

  • Partnering with the Divisional EA to work collaboratively as a community

  • Demonstrating initiative and flexibility

  • Ability to work in a fast paced and ever-changing environment

  • Is risk aware and builds contingency into plans e.g. for events and diary management

  • Effective use of in-house software systems
