Hours: 37.5 hours per week, Monday to Friday

Key job duties:

Contract/Project management

  • Ensure all projects are set up with appropriate contracts and commercial arrangements

  • Develop effective working relationships between contracting, commissioning, information governance, performance management, service development, finance, to ensure the implications of commissioning decisions are appropriately reflected in contracts and agreements

  • Support market analysis and procurement activity - Contribute to market analysis and procurement processes for the post-holder's portfolio of contracts and highlight and work to achieve improvement across groups of contracts

  • Manage budgetary implications of activity

  • Pro-actively manage a portfolio of contracts across the organisation, quality, cost, activity and performance, including contract negotiation

  • Respond to and resolve conflict when this arises through facilitation or other appropriate mechanisms

  • To work with and provide direction to colleagues from Business Support Team to ensure that all contracts are managed effectively

  • Be responsible for a high standard of work supporting the delivery of contracts in a timely and cost-effective manner

  • Responsible for communicating to clients on contract and project status internally and to clients

  • Work across a cross-functional business support team to ensure project leads access the receive the appropriate business support to deliver projects following business processes

Financial management

  • Monthly forecasting and re-forecasting of project income and expenditure

  • Conduct financial due diligence and apply accounting procedures while also gathering and analysing data from many sources at once

  • Compile quarterly finance and KPI reports - compiling reports with inputs from a range of partners

  • Provide data and analysis to external stakeholders

  • Business Partnering with project leads to ensure financial management processes are used consistently

Resource Management

  • Track and maintain resource databases

  • Act as a key point of contact for resource and capacity planning databases

  • Ensure any resourcing issues and/or gaps are flagged and resolved

  • Manage contractor timesheet process and work with Contractors and Finance to ensure smooth payments

  • Supporting project managers in ongoing resource management efforts

  • Design and maintain all performance capacity reports and statistics for management;

  • Ensure compliance to all guidelines and ensure optimal utilisation of all resources

Candidate requirements/experience

  • We require an exceptional candidate who has deep knowledge in contract management for projects, financial management, resource management

  • Energetic and positive attitude

  • Masters level or equivalent in any of the following fields: Programme management, project management, project finance management or contract management is required

  • Highly analytical with strong attention to detail. The role requires exceptional planning and management skills

  • Must have an understanding and vast experience of working with external clients.

  • Must have excellent communication and influencing skills

  • Ability to work to tight project deadlines

  • Confident in planning and managing multiple pieces of work over differing timescales to ensure delivery within agreed timescales, and that appropriate actions are taken in the context of changing priorities

  • Experienced completely numerical analysis and strong financial management skills

  • Tech savvy: Confident with MS package

  • Confident presenter

  • Experienced proposal writer - packaging business solutions and projects including pricing to clients in professional and coherent way

  • Experience in a resourcing planning role or similar
