Managing information



  • Using the information gleaned from enquiries and referrals, historical information is checked and updated ensuring that areas of concern are promptly highlighted and passed to the relevant professional for further action.

  • All referrals and information received is accurately and timely processed and duty tasks are expedited ensuring that any questions or queries are directed promptly to the right professional ensuring excellent information sharing and strong team working.

  • All information is produced to a high standard and accurately and professionally presented. This includes letters, reports, referrals, assessments, information requests, genograms, chronologies, telephone lists etc.

  • Information is accurately and succinctly recorded on LCS ensuring that all family members are correctly profiled, relationships explained and linked and all transfers and closures are correctly administered.

  • Requests for information from internal and outside agencies are recorded, processed and turned around in a timely manner. This includes Merlins, education requests, requests from other local authorities, CAFCAS, SEN and Ofsted etc.

  • Incoming and outgoing post (internal and external) is sorted by the required timescales ensuring that incoming post is scanned and indexed and attached to the client file and social workers are notified.

  • Data cleansing is carried out regularly ensuring that information is checked, corrected, updated and passed to the appropriate workers/agencies (includes missing data reports, caseload monitoring etc)

  • Administration of case allocations, closures, questionnaires and transfers sending letters to service users as required ensuring that LCS is updated accordingly.

  • Archiving paper files to off-site storage or destruction ensuring that LCS is updated



Main responsibilities and tasks
The specific responsibilities of these flexible roles will vary depending upon the level of the post and may alter from time to time to respond to the needs of line managers and heads of service. Responsibilities will include (or be equivalent to) those listed below (please see the Employee Specification for information about the levels of competence required for the grades):
1. Administrative support to ensure the smooth running of office systems, e.g. filing, photocopying, organising paperwork, arranging meetings and functions, ordering stationery and publications.
2. Administrative support to specific projects identified by the Team Leader.
3. Dealing with enquiries from internal and external customers: face-to-face, by telephone, letter and email in a way that positively promotes the council and its services.
4. Developing, improving and suggesting improvements to administrative processes and systems, ensuring they are regularly reviewed and updated.
5. Using and keeping up-to-date with office processes and information technology, including inputting and retrieving information from databases and providing reports and Management Information as required by managers.
6. To work flexibly within the Business Support Services to provide support across the department and to other departments as required, e.g. responding to the needs of the business in order to meet peaks and troughs in workloads.
