Full time - 36 hours per week

Temp role - 3 months min

£12.34 per hour

Job purpose

The Post Holder will provide a comprehensive administrative support service for both the Child Protection Unit and the Independent Reviewing Unit and as such will have designated working days in both sections of the Unit.

The Team Administrators role is to provide a full range of administrative support to Safeguarding Standards Unit as a whole.

Main duties and responsibilities

  1. To provide administrative support to the Unit ensuring that invitation checklist to social workers are sent out within the agreed timescales.

  1. To formally circulate notices of Child Protection conferences to parents and all participating agencies within agreed timescales.

  1. To take and prepare accurate and comprehensive minutes of Child Protection conferences. Ensure completed minutes are forwarded to Chair for review and amend accordingly.

  1. To update and maintain the central electronic conferences diary system.

  1. Inform parents and all relevant agencies of the outcome of each Child Protection conference.

  1. arrange circulation of minutes to participants and others as necessary within timescales, ensure scanned copy of minutes are uploaded into Frameworki

  1. To send out invitation letters for Looked After Review and to upload letters into Frameworki.

  1. To provide administrative support to the Chair and SSU Business Manager in the absence of the WSCB Administrator as directed by the Manager of SSU.

  1. To cover the Allegation System in the absence of the PAO.

  1. To convene and take minutes of Strategy Meetings involving allegations against professionals and cares as directed.

  1. To work jointing with the PAO on practice issues for the Unit on Frameworki

  1. To assist with the booking system for reviews, liaising with IRO's regarding allocation and timings of reviews within the required 28 day period, and date is put in diary.

  1. To liaise with social workers prior to sending out invitation and/ or confirmation letters within timescales for Initial reviews booked once the date, time and venue are agreed.

  1. Ensure all invitation letters/ reports and correspondences are uploaded to Frameworki.

  1. To ensure that Social Workers/ Team Managers are reminded 10 days before the review date to ensure meetings take place within timescales

  1. Ensures decision sheets are typed and circulated to internal colleagues within 10 working days of a review, and distributed externally to Carer's and external agencies.

  1. Ensure all management information is collected from the review and to update Frameworki, Diary and IRO case files with decision of review.
