To provide effective secretarial and administrative support to the commercial department.



Duties Include but are not limited to:



* Assist and support Legal Advisors with the management of client matters.


* Assist with management of the administrative processes to ensure the efficient processing of service charges and associated communication to clients and third parties.


* Carry out general secretarial duties including but not limited to : Audio dictation, the use of the Companies case management system and other software applications, copying, scanning, filing, storage of documents and files, record keeping including scanning and electronic filing, use of standard forms and other documents.


* Complete, draft and prepare more straightforward documents under suitable supervision.


* Operate and adhere to the Company's financial and accounts procedures as set out in the office manual including the preparation of simple accounts and financial statements/completion statements.


* Make and receive telephone calls on behalf of legal advisors and others who call at the office.


* Assist legal advisors in the management of files and time and accurately maintain diaries to record appointments and key dates to assist in meeting deadlines.


* From time to time collect or deliver documents or other items on behalf of the Company to and from the Court or other places and attend meetings or hearings outside the office.


* Ensure that all documents are properly prepared and expeditiously dispatched through the postal and document exchange system or by e-mail.


* Promote the interests of the Company at all times and assist with marketing and promotional events and help with the arrangements for entertaining clients and professional contacts.


* Assist in the provision of drinks and light refreshments to clients and other visitors to the office.


* Adhere to the office manual procedures as far as they relate to the work which you undertake.



Skills/Experience Required:



* Have a high degree of self management & initiative


* Excellent communication skills


* Confident with own work


* Previous employment within the Commercial legal sector


* Ability to work on own or with a team when needed

The above role is based on a permanent full time basis with an ASAP start available. Hours of work are Monday - Thursday 9:00AM - 5:15PM and Friday 9.00AM - 5.00PM with an hour's lunch.
