We have an exciting opportunity to work with one of the top Universities based in Central London. This is a temporary post and is currently running until the beginning of October 2019. You will be working Monday to Friday (35 hours per week) and the role is paying £16.04 per hour.

Job Summary:

The temporary member of staff would sit within the Communications & Events team within the SSC. The Communications and Events team are responsible for coordinating the following core activities - Welcome, the Off Campus Support Scheme, Graduation, and SSC communications.

Line managed by the Communications & Events Manager, the temp would be expected to work closely with the Communications and Orientation Officer to help with the delivery of Welcome and the Off Campus Support Scheme. In addition, the temp would also be expected to support the Senior Graduation Administrator with the Ceremonies inbox, and potentially undertake shifts on the Student Services Counter.

The temporary member of staff's key duties and responsibilities would include:

Off Campus Support Scheme

  • Book in allocation data with residences and ARD Systems

  • Update Mentor Moodle Site

  • Re-write webpages with opt-in information and form

  • Run list of mentors by School Senior Advocate for Students

  • Re-write emails to mentors and mentees introducing scheme and changes

  • Mentor/mentee allocation

  • Mentor allocation emails

  • Mentor/mentee email monitoring

  • Allocation of late opt-ins and no-response mentors

  • Act as a second person to deliver OCSS talks during Welcome

  • Represent OCSS at Widening Participation talks and Showcase

  • Organising/arranging Mentor goodie bags

  • Maintain mentor meeting rooms


  • Work with temp on signage templates (plasmas, door signs, posters, etc.)

  • Organise Welcome Party in Garrick (catering, invitations, speakers)

  • Prepare materials for Help Points and Campus Tours (logs, info packs, materials)

  • Replenish materials for Help Points and Campus Tours each evening

  • Support with inbox (answering FAQs, re-sending Pre-Registration Passes)

  • All HR administration for Welcome Staff, including payroll double checks

  • Showcase - signs and gazebo set-up checks during week.

  • Lead person for Consent Gameshow events - liaise with AV and Consent Collective re logistics and attend events on 23rd and 26th to brief stewards (new for 2019)

  • Lead person for early arrivals Help Points (prior to Friday 13 September)


  • Schedule tweets (up to 4 per day during Welcome)

  • Schedule Student Hub posts (daily in September, 2-3 per day during Welcome)

  • Monitor and respond to social media queries

  • Support with webpages updates (particularly with chasing departmental welcome events links)

  • Assist with any SSIP related website edits that might arise


  • Inbox - booking tickets, extra tickets, schedule, postponement requests, PhDs


  • May need to undertake shifts on the Student Services Counter to help with the enhanced counter service offered in September

You will need experience of working within a fast-paced Administrative environment, ideally within Higher Education. Advanced knowledge of Microsoft Office. Ability to copy write and proof materials.
