Brief Job Description



General administrator focusing on supporting HR admin duties, along with day to day reception requirements. Providing additional admin and support to the Group Compliance Director





Examples of Duties and Responsibilities




Reception Responsibilities



� General Reception Duties


� Responsible for meeting rooms & lunches


� Coordinating all visitors to site (inc issuing Induction & Asbestos register)


� Coordinating Security Lockup


� Post for HBG & tenants


� Ordering & managing stationary stockroom


� Monitoring and programming Focus T&A suite & staff movement tracker


� General admin support eg filing


� Office First Aider (optional)


� Site Fire Warden






HR/Admin Support




� Drafting contracts of employment from templates, and onboarding paperwork


� New Starter Induction paperwork, inc Manual Handling DVD Training


� Working on HR suite; inc managing holiday bookings, and logging sickness


� Maintaining HR files and records


� Driving licence and insurance checks


� Supporting the Appraisal Programme


� Updating Training Matrix (Excel)


� Supporting booking mandatory H&S training


� Assisting with scheduling Health Surveillance and medical referrals


� Creation of (confidential) Management Packs




Safety, Health, Environmental, and Quality (SHEQ) Admin



� SHEQ Admin ie Filing Maintain Waste Transfer Notes Folder


� Filing and maintaining factory Machine Check Sheets & MWF level check sheets


� Program data suite with scheduled / annual reminders


� Helping with weekly fire bell alarm testing




� Assist with the coordination of;


o lighting repairs


o Book and record Lift servicing


o Arrange Thorworld LOLER checks


o Schedule and record annual Gas safe & service records


o Book annual Fire Extinguisher servicing


o Annual air-con servicing


o Booking LOLER lift inspections


o Arrange substation servicing


o Liaising with Pestguard


o Emergency lighting checks


o Arranging general building repairs


o Coordinating 6 monthly and annual PATesting;


o Scheduling NIC Fixed electrical checks and repairs


o Sanitary bin provision




� And any other duties as reasonably required.
