Customer Service Officer/Front of House - Part Time


Our client, who's focus is to transform lives and build safer communities are looking to recruit a Customer Service Officer to work as an integral part of the community team in Camden to provide a high quality customer service and ensure smooth running of their front of house reception.



  • Location: Camden

  • Pay: £10 per hour

  • Hours: Part-Time, Tuesday&Wednesday, 9am-5pm

  • Start Date: ASAP

  • Type/Duration: 2 Months (New Year)


Based mainly at Camden, however the right candidate must be able to cover Islington and Hackney, Haringey and Enfield and sometimes Barnet if needed.

Job Description:



  • Assist visitors in reception in accordance with clients standards

  • Record attendance of visitors

  • Obtain basic information from all casual callers and deal with basic queries as appropriate.

  • Deal with all visitors in accordance with the Customer Service Standards.

  • Update Service User records when required.

  • Maintain own Outlook diary and collate Outlook diaries for the team.

  • Access electronic mail regularly and respond accordingly.

  • Process incoming and outgoing post.

  • Maintain processes and where necessary make proposals for improvement.

  • Update and maintain information on relevant approved databases, spreadsheets and paper systems.

  • Issue petty cash /vouchers/warrants for travel costs, maintaining appropriate records in line with local office financial procedures.

  • Relay information obtained or observed from interaction with the Service User or External Agency to Offender Manager / Duty Manager.

  • Report any aggressive / abusive behaviour to the appropriate Manager, taking appropriate action to reduce the risk of escalation.

  • Update and maintain bookings Monitor CCTV for group work and interview rooms.

  • Provide training and instruction on the use of the switchboard and other duties associated to this post, as required.

  • Respond to panic alarm system and summon assistance in accordance with procedures.

  • Operate and maintain room bookings system.

  • Monitor and maintain the reception area to a good standard.

  • Receive and disseminate information in an appropriate manner, e.g. telephone and email.


Building Duties



  • Keep relevant manager appraised of reported building jobs e.g. faulty equipment and / or materials to the relevant department.

  • Induct contractors, third-tier providers and visitors to the building as and when required

  • Report telephone equipment faults.

  • Greet and induct external contractors and direct them to the location of the work to be done

  • Walk the floors on a weekly basis and report any issues to the relevant department.

  • Contribute to maintaining a healthy, safe, and secure workplace.

  • Assist with testing of fire alarms, panic alarms, lift alarms and disabled toilet alarms as required.


Other



  • Maintain and issue stock items, including stationery.

  • Undertake training to maintain and develop own knowledge, skills and competence.

  • Participate in supervision and appraisal with people manager.

  • Maintain confidentiality in accordance with the organisation's requirements.

  • Carry out all duties with due regard to the provisions of the Equality legislation and the equality and diversity policy, and ensuring that all staff and service users are treated with equity and fairness.

  • Due to business need, it may be necessary to deploy employees to a different location and/or role. Where this need arises, changes and decisions will be made in accordance with the Mobility Policy.


Skills/Experience:



  • Ability to undertake word processing.

  • Effective communication skills (verbal, and written).

  • Ability to communicate with a wide range of individuals/audiences

  • MS Office skills (MS Word & MS Excel) and experience of using these skills in the development of office systems.

  • Ability to use the internet and company intranet to obtain information necessary to carry out duties at work.

  • Ability to work cooperatively and flexibly with others as part of a multi-disciplinary team.

  • Possess basic numeric skills.

  • Ability to meet deadlines and work under pressure.

  • Ability to organise work effectively and operate in a methodical, timely and accurate manner.

  • Undertake shift-work to ensure front of house services are delivered in accordance with operational requirements.
