A permanent opportunity has arisen for a Document Controller to join our clients business based in Newport.


Monday to Friday - £25,000 - £30,000pa depending on experience

Manage the timely, accurate and efficient preparation of all traceability documents to comply with the conditions set out in the contract between the Company and Customer.

Accountabilities


Support the Quality Team by conducting a range of administration activities




  • Support the ongoing development of documentation and administration activities associated with the processes

  • Control and collate the quality and traceability of documents generated by the contract as detailed in the agreed inspection and test plan

  • Produce detailed reports from the current traceability systems (physical or digital) on a weekly and monthly basis, for submission to the customer / client

  • Organize and plan specific customer traceability requirements through to the shop floor

  • Obtain and manage document issue numbers and manage existing record systems for the Quality department

  • Ensure the submission of Life Time Records in accordance with the relevant document issue numbers

  • Maintain appropriate compliance records e.g. quality assurance, health & safety training etc



Collaborate with the Production Team to improve and ensure standards of produce quality




  • Train and monitor Production Operators in the documentation associated with product manufacture and traceability

  • Develop workplace procedures and tool-box-talks focusing on traceability

  • Understand and implement Nuclear Safety and Traceability Standards associated with the supply of materials

  • Support the production process to maintain material traceability

  • Utilise BS 4449, BS8666 and CARES requirements for reinforcing steel product and ensure the Production Team are achieving and maintaining these standards

  • Provide ongoing feedback on Quality improvements through detailed reports

  • Supervise and analyse the production process to identify potential areas of process improvement for quality standards



Ensure the continuous process of general administrative activities



  • Manage and respond to requests for information

  • Create, scan, copy and file documents in physical and digital format

  • Create document templates to improve consistency and efficiencies

  • Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date

  • Liaise with and distribute project related information with all levels of the project team and external parties.

  • Manage the processes around documentation within the depot

  • Maintain confidentiality around sensitive documentation

  • Prepare ad-hoc reports on projects when required

  • Provide note taking support when required



Coordinate the facilitation of visitors onto site




  • Supply and collect Personal Protective Equipment (PPE) for visits to operational areas

  • Liaise with security to arrange access onto site

  • Arrange inductions with the appropriate stakeholders



Miscellaneous or ad hoc business requirements


Manage and/or undertake specific project activity as determined by the business or line manager



  • Travel to specific locations in order to undertake role requirements as required

  • Represent your function or business at meetings and other events as required

  • Undertake any reasonable request in order to support the needs of the business



Technical Competencies


Word , Excel, Outlook, Powerpoint, SAP, ARMA, Fieldview, Therefore, CRM - Strong advantage but not essential
