Executive Assistant


Our client, based in higher education are looking to recruit an EA to support the Head and Deputy Head of Department to provide comprehensive administrative support to the senior team and specifically to Head and Deputy Head of Department. Duties would include diary management, arranging department meetings and events, minuting meetings and making travel arrangements. The post will maintain strict confidentiality of any patient/family/staff information and work within the terms of the Data Protection Act.


The post holder will assist senior staff members with administration of research groups as directed.

Job Description


The post holder must be capable of working autonomously and liaising directly with internal and external colleagues in an independent manner. The post holder will use their initiative, discretion knowledge and experience in planning, coordination, organisation and problem solving daily.



  • Providing diary management to the Head and Deputy Head of Department.

  • Ensuring the Head and Deputy Head are prepared for meetings, including bringing forward paperwork, chasing outstanding information, and alerting to upcoming deadlines.

  • Taking accurate minutes and circulating them in a timely manner.

  • Booking rooms; circulating invitations and agendas, arranging catering.

  • Organising the setting up of AV equipment and providing handouts and other materials where required.

  • Organise department events and seminars both internally and externally including finding venues, budgeting, circulating invitations and organising publicity, agendas, catering etc.

  • To manage and maintain the department's website.

  • To provide management information and to maintain Department databases.

  • Making travel and accommodation arrangements including obtaining visas if required.

  • Processing financial paperwork for the Head and Deputy Head of Department e.g. invoices and expense claims, and managing some department related purchases.

  • Monitor expenditure and income on accounts under the direction of the Business Manager.


Skills/Experience


Essential



  • Advanced computer knowledge including Microsoft Office applications including Word, Excel and Outlook

  • Excellent communication skills

  • Good numerical skills

  • Ability to deal with a wide range of people tactfully

  • Excellent time management skills

  • Experience of working to deadlines and diary management

  • Experience of working as a PA or EA

  • Ability to work flexibly and independently

  • Respect for confidentiality
