We are recruiting for an experienced Events Coordinator to join a fantastic team on temporary basis. Initially for 4 months but could be extended.

This is to start asap to end of April 2020. Monday - Friday 35 hours per week.

Main Responsibilities related to the role.

  • Primarily coordinating the delivery of two simulation training events:

  • Contacting a database of local clinicians and internal staff to recruit facilitators / teachers for the various teaching sessions included in the events

  • Providing a consistent point of contact for facilitators / teachers, suppliers and partners regarding all aspects of the event.

  • Liaising with venue administrators, building managers and/internal staff to set up and take down the equipment required in teaching delivery rooms.

  • Liaising with AV suppliers to manage support for the required AV.

  • Arranging catering for students and facilitators

  • Manage equipment being purchased and storage.

  • Printing of handbooks

  • Liaising with various administrators to manage the students' involvement, entry and exit of the sessions

  • Attending Event operational and planning meetings, taking minutes and noting action points where necessary

  • Liaising with external venue

  • Designing and managing student movement through the venue

  • Arranging payments for non-School of Medicine staff

  • Organising logistics re: recruitment of actors, i.e. simulated patients.

  • Arranging printing and laminating of group timetables on lanyards.

  • Liaising with internal staff / administration staff re: additional help required on the days of delivery


  • An enthusiastic and confident Event Coordinator with previous experience of managing logistics for complex events

  • Excellent communication skills and ability to liaise with multiple stakeholders

  • Excellent organisational skills, ability to multitask and to meet strict deadlines

  • Meticulous attention to detail

  • Excellent IT skills, including relevant experience of the Main MS office packages, including word and excel

  • Willing to work extra hours if required to ensure a successful event
