Events Officer

Location: London, Holborn

Salary: £15.01 / £16.99

Duration: ASAP currently until the end of August with a high potential of an extension

Contract type: Temporary

Working Pattern: Hybrid working

The Events and Communications Officer is responsible for coordinating and promoting public events in the European Institute and School of Public Policy. Working closely with the Events and External Affairs Manager, they will be responsible for the administration of both departments' busy public events programmes and related communications.

Roles and Responsibilities include:

  • Working with the Events and External Affairs Manager to organise and promote public lectures, seminars and debates hosted by the European Institute and School of Public Policy.

  • Liaising over room hire, catering, security, audio visual equipment, invitations, guest lists, guest queries and guest speakers' requirements (e.g. travel, accommodation).

  • Writing to and liaising with VIPs, high profile and other speakers, and dealing with press and guest enquiries, and liaising with the Events team as required.

  • Designing and producing events publicity material, including relevant print materials (e.g. brochures, booklets) for events.

  • Requesting and collating post event feedback and suggesting areas where action may be required, and/or providing suggestions for future events.

  • Assisting with the events budgets - including preparing and processing reimbursements for managerial approval, general bookkeeping including monitoring expenditure and ensuring expenses remain within budget.

  • Ensure that events run smoothly, including supervision of stewards as needed.

  • Acting as a first-point-of-contact for events-related activities, and responding or redirecting as appropriate.

  • Representing the department and School in external events calls to contacts in the UK and overseas.

  • Liaising with the Events and External Affairs Manager on publicity and marketing.

  • Updating the website, and assisting with the development of the Event pages.

  • Updating and monitoring social media outlets as part of the public event series.

  • Providing support for any newsletters or other communications that develop out of the Programme.

  • Liaising with external contacts including event speakers, government officials and public service staff.

  • Providing administrative assistance and support to the European Institute and School of Public Policy in general work related to the events and events communications.

  • Being an active member of both departments, providing support as needed.

  • Attending and contributing to departmental meetings, including bringing items of relevance to the various meetings for discussion.
