We are recruiting for a well known museum based in central London. They need an Executive Assistant (EA) on a 3 month temporary basis paying £18.32 per hour. You will need to be available to start on the 19th July. This role is currently home based but you will be required to go in at some stage 1 or 2 days a week in the near future.


Duties:


To provide professional administrative, secretarial, and logistical support to the Executive Director of Engagement and the Head of Global Engagement, ensuring their time is managed effectively. Providing pro-active administrative support to the Engagement Leadership Team through management and coordination of senior stakeholder meetings and key events for Engagement Group. The main administrative responsibilities will include:


* Complex diary management and prioritisation * Co-ordinating meetings and documents for senior management team meetings * Booking travel, accommodation, and setting up itineraries * Monthly financial reconciliation of credit cards / budget spend. * Meeting and greeting guests, managing enquiries, emails, and requests appropriately. * Setting up and maintaining shared documentation spaces * Updating the Engagement intranet page and co-ordinating updates to organisation charts The role requires excellent organisational, time management and communications skills to proactively deal with conflicting demands and manage numerous different relationships with the appropriate degree of confidentiality and sensitivity. Significant experience working with a senior manager and the ability to build good working relationships at all levels, both internally and externally will be essential. The role will be directly line managed by the Head of Resources and Planning, Engagement with a 'dotted line report into both the Executive Director of Engagement and the Head of Global Engagement who will be directing day to day work.

Engagement Communications and meetings * Take responsibility for co-ordination of the weekly 3x10 meetings, maintaining schedule and communicating with presenters. * Arrange, manage agenda input, administer paperwork, and minute Engagement Leadership Meetings * Ensure all information about the Engagement Group is up to date including: Engagement staff charts (organograms), Engagement Group intranet and internet pages.
