Fixed Term Contract (2 years)

£25k - 30k

We are looking for a candidate to work for our public-sector client on a fixed term basis. Initially this will be for a minimum of 2 years, however as the role develops there could be a permanent opportunity available in the future. The purpose of the role is to provide administrative support to chair of Gastric Ulcer Systemic Therapy Research. You will be expected to ensure that the office runs smoothly, assist with other teams on an ad-hoc basis when necessary and maximise efficiency within the business.

  • Diary management and the assistance of planning meetings / projects

  • Provide administrative support to the projects in accordance with the directors. Work closely with the team to help manage the project

  • Co-ordinate project deadlines

  • Assist with the planning of both skype and in-person meetings. Booking meeting rooms / Venues, arranging travel, accommodation, refreshments, setting up meeting rooms, creating agendas and taking minutes during meetings when necessary

  • Assist with other ad-hoc administrative tasks when necessary

  • Act as a first point of contact for the Chair or GU. Manage and respond to any emails, letters or queries effectively and in a timely manor

  • Process expense claims for other members of staff

  • Attend meetings and training events (sometimes off site) that are relevant for this position

  • Raise purchase orders via Oracle

  • Proof reading documents for the chair of GU

  • Oblige by GDPR regulations

  • Comply with H&S regulations within the office

  • Liaise with IT in order to resolve any issues within the office

  • Assist with the recruitment process for the directors' research group when necessary. Ensure that new staff members are inducted and set up appropriately with the correct IT equipment and log in details

What We Are Looking For

  • A team player who strives to achieve results

  • Excellent experience in working within a similar role (PA / Executive Assistant)

  • Strong experience of diary management and the assistance of arranging travel and accommodation for meetings or conferences

  • Excellent written and verbal communication skills

  • High level of attention to detail

  • Willing to travel for the purpose of meetings / conferences / training events

  • Ability to work to own initiative whilst under pressure and working towards deadlines

  • The understanding of medical and scientific terminology would be desirable
