Executive Assistant to the Vice Chancellor and CEO

2-3 Month Temporary Contract

£17.35 per hour

Monday - Friday, 9am-5pm

Based in Central London

Adecco are currently recruiting for an Executive Assistant to the Vice Chancellor and CEO of a prestigious university based in Central London. The Executive Assistant is required to support the Vice Chancellor (VC) and CEO. Key tasks of will be to provide support and act as the CEO and Principal's representative as authorised. They will be responsible for ensuring that the VC and those dealing with the VC's office are given the best possible standard of service at all times. The Executive Assistant will line manage the Senior PA to Directorate and the role of Apprentice


  • Provide confidential and effective Personal Assistant support including diary management, minute taking, filing, outlook management, travel & hospitality arrangements and other services to the Vice Chancellor / Deputy Vice Chancellor as required.

  • Make a proactive and significant contribution to the overall development and excellence of internal administrative procedures in conjunction with other staff, Directorate and Faculty PA's.

  • Proactively communicate both internally and externally as required to fulfill the duties of the role.

  • Work flexibly and as a team with other staff ensuring that the VC, Directors and their teams and stakeholders of the organisation receive a consistent and integrated service at all times.

  • Attend all relevant meetings with and on behalf of the VC, taking, transcribing and circulating minutes and following up on action points for the VC. Coordination of such meetings.

  • Act as the first point of contact for those approaching the VC. Prioritise and coordinate meeting requests from staff in accordance with VC's schedule. Responding to and re-directing incoming enquiries as appropriate.

  • Assist the Vice Chancellor in planning work programmes by implementing systems for effective scheduling, forward planning, reminders and taking follow up action as required.

  • Undertake specific projects on behalf of the Vice Chancellor as and when required.

  • Research issues and prepare briefing notes/reports in relevant areas of business interest taking account of policy changes in the sphere of operation of the organisation.

  • Anticipate and proactively manage issues to ensure the smooth running of the role of Chief Executive and Chief Executive Office

  • Line management of Directorate Support Staff (Senior Personal Assistant and Apprentice)

  • Ensure there is free flow of information between the Director, Chairman and Board of Trustees and between the Directorate and internal departments.

  • Collect, prepare and circulate board/committee papers for meetings ensuring they are well presented and circulated according to the appropriate timeline and take minutes.

  • Co-ordinate the team supporting the Directorate throughout the College holding regular meetings to share best practice and ensure balanced workloads and maximum efficiency.


  • Educated to degree level or equivalent and secretarial/Administration qualifications or equivalent

  • Experience as a Senior Personal Assistant and/or previous experience - working at a senior level (Chairman/CEO)

  • Experience of monitoring budgets

  • Experience of line managing a team

  • Extensive experience of preparing agendas, reports, papers and taking transcribing minutes

  • Ability to think strategically and innovatively to develop initiatives that will support business performance

  • Excellent organisational skills, especially the ability to work on a number of different projects concurrently and the ability to prioritise and manage competing priorities.

  • Demonstrated ability to respond courteously and professionally to incoming requests from internal and external contacts at all levels.

  • Experience in organising events and assisting in communicating with and hosting guests.
