Executive Assistant to Director

Our client, a well-known charitable organisation is looking to recruit an Executive Assistant to provide executive and administrative support to the Executive Director to maintain the strategic and operational delivery of the relevant directorate of the organisation.

  • Location: South West London

  • Pay: £15.60 p/hr

  • Type: Temporary

  • Start Date: ASAP

  • Hours: 34.5, Monday-Thursday 9am-5pm & Friday 9am-4:30pm

  • Duration: 1 Month

Job Accountabilities and Responsibilities:

  • To act as the first point of contact for the Executive Director.

  • Proactively manage the Executive Director's diary, emails and travel arrangements based on a detailed understanding of their objectives and priorities.

  • Organise and coordinate meetings, visits, webinars and teleconferences, including research and the preparation of documents, logistics and booking venues.

  • To draft and circulate meeting papers/presentations, taking minutes and following up on actions.

  • Organise and coordinate key team events such as away days including venue booking, logistics, agendas, and evaluation.

  • Work closely with the Director, internal communications team and relevant stakeholders to craft and cascade messages to the wider directorate through the most effective channels.

  • To manage and continually improve logging and filing systems and other systems as directed and to support the Executive Director with system input and authorisations where appropriate.

  • To track and process invoices, expenses and ensure records are regularly updated in line with relevant budgets.

  • To provide essential support to the direct reports of the Director during the absence of their PA/Team Coordinator.

  • To lead on directorate relevant projects or pieces of work on behalf of the Executive Director.

  • Collaborating with other Executive Assistants to share best practice and improve processes.

Experience and Skills:

  • Solid experience of administration/personal assistance for senior leaders.

  • Excellent interpersonal and communication skills with the ability to develop working relations and build trust quickly with internal and external stakeholders.

  • An understanding of the work of the Executive Director and knowledge of how to prioritise their work and respond on their behalf.

  • Strong organisational skills and the ability to prioritise and work to deadlines in a multi-tasking environment.

  • Good working knowledge of main Microsoft Office applications, including Outlook, Word, PowerPoint and Excel.

  • A highly professional and discreet manner for screening and handling all internal and external correspondence with the appropriate level of confidentiality.

  • Ability to challenge with both authority and tact.

  • Ability to work well within a team and able to make decisions.
