Our client is a charity based in Maidenhead who are now looking to expand their team.

About the Role:

As a global organisation, our client operates in over 150 countries and territories. They are looking for an exceptional organiser who can manage the travel, support and board meeting administration for our senior directors and Vice Chairman.

General Duties

� Maintain the DG's diary and use an on-line booking system to make comprehensive travel arrangements

� Arranges tours and visits for the VC, the DG and the President, ensuring comprehensive briefing and organisational support is provided.

� Creates a positive and professional impression of self and the Commission, being the first point of contact for the DG and VC, via telephone, e-mail and face to face meetings.

� Processes expenses claims and manages payments for hospitality.

� Prepare letters and e-mails for the VC, the DG and other senior managers.

� Assists with administration for other senior managers and their teams, including maintaining and updating the events calendar.

� Make all arrangements for meetings and subcommittees, including collating and circulating papers, arranging venues and taking and writing the minutes.

� Processes the appointment of new Commissioners, liaising with the office of the President.

Project Responsibilities

� Assist and support projects as and when required

Education, Knowledge and Experience


� Educated to degree level or relevant knowledge and experience

� An excellent command of English

� Extensive IT skills, including Word, Excel and PowerPoint

� Writing minutes, preparing briefing and drafting letters and e-mails to a high standard

� Experience of working in a Government/civil service environment


� Using an on-line travel booking system

� French

� Excellent communication and networking skills

� Ability to be confidential and work with discretion at all times

� Extremely well organised and able to stay calm under pressure

� Friendly and flexible, with a 'can do' attitude

� Positive and assertive and able to take control and use initiative

� Ability to present a positive impression of self and the Commission

� An excellent telephone manner and ability to write good quality minutes of meetings, letters and e-mails with correct punctuation and grammar

� Accurate and with good attention to detail

� Prioritise workload and meet deadlines

� Ability to work proactively with other managers to assist with administration or projects in the absence of manager


� Health and Safety responsibility for self
