Are your administration and planning skills top tier? Do you enjoy a varied workload and problem solving? Then you'd be great as an Executive PA for our client based in Peterborough!

As the personal assistant to company shareholders and Directors you would provide first class support in a range of areas including travel arrangements, diary management, event planning, communication, project management and much more, to enhance the efficiency and effectiveness of the company and its senior team.

PLEASE NOTE: This position includes supporting the International Sales and Marketing Director who is based in California so some days will require a later start and later finish. Also, this is not a remote working position.

Responsibilities include (but are not limited to):

  • Reading, researching and routing correspondence for the Directors and ensuring that meetings are scheduled during agreed working hours to accommodate time differences

  • Manage e-mails from multiple email accounts

  • To assist in the implementation of internal communication strategies and ensure effective delivery; facilitate effective internal communications at all levels

  • Assist the Event Coordinator in arranging events (this includes organising travel, accommodation, registrations, tickets, video/photo shoots, etc)

  • Support the HR department with recruitment, consulting with agencies scheduling interviews and assisting with inductions for new employees

  • Building relationships with external customers, distributors, and suppliers in a professional manner, promoting the company and its values

  • To track internal projects and provide updates

  • Adhere to stated policies and procedures relating to Health & Safety and quality management

  • Consistently look for ways to improve best practice in work flow, systems, business development activities and projects

  • Providing complex diary management across multiple time zones

  • Full responsibility for all travel arrangements for Directors and Shareholders (including guarantee of receipts and invoices going to Finance dept)

  • Produce agendas, collate, and distribute papers prior to the meetings, take minutes and distribute. Ensure all actions are followed up within the agreed deadlines and that all documentation is filed for review by Shareholders or during an audit

  • Ensure the Group's 'Brand Values' are adopted, promoted, and always adhered to. Lead by example.

Personal attributes:

  • GCSE's including Maths and English

  • Excellent organisational ability

  • Ability to work in a flexible manner across multiple time zones

  • Ability to use own initiative and prioritise personal workload

  • Ability to always work accurately with close diligence

  • Experienced in working under pressure and to strict deadlines

  • Ability to communicate at all levels and through all media

  • Discreet, personable and with a high degree of integrity

  • Desirable - Proven history of project management, working to agreed objectives and managing time effectively

  • Desirable - Advanced qualification desirable in business administration

Additional Info:

Location - Peterborough

Hours - Monday to Friday (9am to 5pm, with some days per week needing later hours, e.g. 11am to 7pm to accommodate Directors in the US)

Salary: £26,000 - £28,000 per annum

Hybrid working available (work from home only on days with the later finish)
