Job Purpose



To ensure all orders for Export customers are placed, delivered and invoiced on time and correct documentation is supplied to customers in timely manner; assisting in the achievement of budgeted volume, NSV & ETE.



Roles & Responsibilities




� Ensure accuracy of volume forecast which is used to build up the production plan for the Non UK market


� Process customer orders ex company warehouse, coordinating logistics and liaising with freight forwarders. Ensure all export documentation required for all orders is sent to customers in good time to allow customs clearance


� Request set up of new customers and distribution depots / delivery points through Finance.


� Maintain pricing in SAP and arrange invoicing of deliveries in relevant currency and to ensure tonnage captured


� Collaborate with design agency on any additional packaging artwork required for export customers


� Liaise with company affiliates to process direct shipment orders as required


� Resolution of associated customer service issues


� Administrative support including producing of correspondence and reports


� Take reasonable care for own health and safety and that of fellow CREW













Key outputs (80% of role)




� Process drop shipment orders through to completion of customer invoice


� Requesting, checking and issuing all customs documents required for export markets


� Maintain pricing on SAP


� Weekly volume forecast for Export for Exec huddle


� Liaise with factory planners and overseas supply chain team to update DS order schedule. Follow-up with late production and update customers


� Pre-order credit checks for new customers, applying for revised credit limits for existing customers


� Monthly review of late payments with accounts, informing decisions when and when not to chase


� Co-ordination of packaging changes - artwork, trays, sleeves (SKUs), liaising between customer and supplier


� Ad hoc supply of product data to export customers eg. COO, weight, dimensions, pallet configuration, etc


� Bi-annual production of export price lists in conjunction with Export Manager

Person Specification




� Export administration experience with appreciation of distributor, agent and retail models


� Knowledge of logistics & controls required for exporting canned seafood to various markets


� Understanding of Export payment terms, and payment receipts from overseas customers, in particular Letters of Credit and Bank Drafts


� Excellent organisation and administrative skills


� Ability to prioritise demands of his / her time and be able to deal with them systematically


� Intermediate MS Word & Excel; Experience of SAP (Desirable)


� Numerate and literate


� Self-reliant, ability to work autonomously with minimal appropriate escalation


� Team player with 'can do' approach


� Application of problem solving and decision-making skills


� Interpersonal skills to facilitate internal and external relationships
