Adecco are excited to be working with a client in Chesterfield on a Facilities Office Manager role for a 12 weeks period. This role will initially start temporary and if there is a chance the role could go permanent the ideal candidate will be able to apply for the role.

This is a key support role within the Corporate Services Team, providing effective office management in the client office and some aspects of the management of other properties. The role will involve the post holder to act as the primary point of contact, both internally and externally for all property and health and safety matters at the Chesterfield offices.

The role will manage property and general facility related issues on site, including ordering goods and services in line with procurement processes, managing contractors on site and liaising with the charity's landlords.

Additional duties will include dealing with post and deliveries, welcoming visitors and monitoring meeting rooms.

Duties include:

  • Proactively maintain effective relationships with key stakeholders, e.g. senior team, landlords, suppliers.

  • Manage post opening in accordance with procedures and ensuring outgoing mail is processed effectively. Manage courier deliveries as required.

  • Ensure that all visitors are received warmly and are directed to the appropriate person efficiently and with courtesy, as required

  • Monitor room bookings and provide support as required for external and internal meetings.

  • Deliver proactive management of stationery and general office supplies ensuring stocks are readily available.

  • Be responsible for petty cash, in accordance with established procedures.

  • Be responsible for developing and maintaining electronic and paper filing systems for the Chesterfield office, particularly with regards to matters of compliance, ensuring appropriate records are saved and can easily be located

  • Act as the first point of contact for all property related matters: proactively resolving facilities issues as they occur, to ensure the smooth running of the office

  • Ensure the client complies with the terms of its leases, escalating issues to the Facilities Manager and or Senior Property Manager and landlord as appropriate.

  • Act as the responsible person for health and safety and other relevant legislative matters including

  • Ensuring that new staff receive health and safety induction to the buildings

  • Coordinate fire and emergency evacuation procedures and maintain accurate records, including the register of fire wardens and first aiders

  • Coordinate compliance training completion

  • Coordinate provision of display screen assessments and risk assessments as necessary in liaison with Human Resources

  • Coordinate processes and communications that fall that support the Facilities Management Team in delivering its objective of providing an exemplar working environment

  • Ensure that public and communal areas, such as meeting rooms and kitchens are kept clean, tidy and adequately stocked with the necessary equipment.

  • Manage suppliers and contractors to ensure works are carried out in accordance with agreed requirements and charity's procurement procedures

  • Supervision of an office Facilities Assistant.

  • Supervision of a Mail Room Assistant

This role is for 35 hours per week (Monday to Friday)

If this was a permanent role it would equal £23,750k per annum
