  • Responsible for managing the UK Fleet, with fleet size of 40

  • Ordering process for new vehicles, manufacturer discount, sign off and policy adherence

  • Main point of contact for HR, Payroll & Comp and Benefits

  • Daily contact with leasing providers to trouble shoot issues

  • Company Car Policy amendments and management

  • Crisis Management - bailiffs, police and prosecution

  • Monthly P46 reporting and annual P11d submission to HMRC

  • Main contact for local and global procurement team, requirement to work on projects and report fleet data e.g. costs and savings

  • Managing ongoing projects including onboarding of new leasing companies.


  • Full PA support to UK LE Controller.

  • Including compiling expenses, diary management, administration & travel.

  • Document signing for internal and external customers & ad hoc requests.


  • Main point of contact for visitors and arranging of meetings (internal and external)

  • Support Finance team with queries and return to office post lockdown

  • Fire Marshall

  • Overall responsibility for office, stationary, H&S of team.

  • Cover American Express administration and post for AP team.

  • Purchase order raising


  • Submit monthly fleet information to HR, RTR and SSC team

  • Provide support to Custodian teams in terms of reporting on an ad hoc basis

  • HMRC reporting including P11ds for company cars


  • Daily use of Microsoft Outlook, Excel and Word

  • SAP and Ariba

  • DHL

  • MIRO stationary ordering

  • Visitor database to book in visitors to site

  • Room bookings

Key Skills

  • 3+ years previous PA experience supporting senior level executives and Fleet management and project management experience

  • Advanced IT skills with excellent working knowledge of Microsoft Office

  • Ability to work in a fast paced and focused environment

  • Strong administration and organizational skills

  • Ability to build relationships and demonstrate discretion and judgement when working with confidential information.

  • Experience of working with multiple suppliers

  • Self-motivated and able to manage multiple priorities

  • Strong communication, networking and negotiation skills

  • Focused individual, with excellent attention to detail

  • A drive and passion to achieve results at a high level
