Our client, a trust that provides general health services at hospital and in the community are currenty recruiting for an Administrator to co-ordinate education and training courses, providing support in all aspects of course administration and reporting to the relevant Education and Training team leads.

  • Location: Hackney, London

  • Pay: £11.34-£12.70 p/hour

  • Type: Temporary

  • Hours: 37.5 hours per week, can be flexible on times

  • Duration: 3-4 Months

  • Start Date: ASAP


Main Responsibilities:

Education and Training Team

  • To support the Education and Training Team with administrative duties. An indication of these duties include:

    • Database administration using OLM or other systems such as Microsoft Excel for data input and retrieval

    • Collating of data

    • Photocopying

    • Minute taking of meetings

  • To assist with the organisation of courses and events by:

    • Liaising with education and training course leads and facilitators and providing support

    • Booking rooms

    • Photocopying training materials

  • To manage telephone and face to face enquiries relating to courses (e.g. bookings, attendance, training records).

  • To use OLM to produce registers for training courses and input attendance

  • To use Microsoft Outlook to send confirmation of courses and reminders.

  • To monitor course bookings and follow up on non-attendance at courses.

  • To assist in the promotion of the Education services and training courses

  • To organise catering for courses and events.

  • To administer other systems such as Elsevier eLearning to support the wider education team.

Education Centre Reception

  • To supervise the coordination of the reception service of the Education Centre and ensure appropriate reception cover is maintained.

  • To organise and co-ordinate room bookings for the Education Centre

  • To be able to input, maintain and retrieve data from all Education Centre computer systems

  • To be vigilant ensuring anyone accessing the Education Centre is entitled to do so.

  • To, efficiently and effectively, handle enquiries from staff and externals.

  • To act as a focal point for the delivery and collection of post and courier items for the Centre, and to ensure the effective distribution of post to staff and managers

  • To move and carry furniture and equipment (eg chairs, tables) in accordance with room layout requests for teaching and hospitality functions taking place within the Education Centre.

  • To ensure equipment and materials are appropriately stocked, set up and in working order prior to events.


  • GCSE Grade C Maths and English or equivalent

  • Ability to communicate courteously and appropriately with staff at all levels, both verbally and in writing

  • Effective telephone and reception skills

  • Good administrative coordination skills

  • Proficient in the use of Microsoft Windows software including the use of Microsoft Word, Excel and Outlook

  • Ability to maintain a booking system and good attention to detail

  • Ability to prioritise, organise own workload and ensure set deadlines and agreed standards are met

  • Able to use initiative and take responsibility for delegated activities

  • Experience of supervising team members

  • Experience in operating a reception service, working with visitors and/or members of the public

  • Flexible approach and able to function as part of a team or be self-sufficient
