We are recruiting for a temporary HR Administrator to work with one of London's leading universities.

The HR Departmental Advisory Team provides an outstanding service to departments, institutes, research centres and services throughout the School, taking responsibility for the effective delivery of HR solutions.

Responsibilities of the role: Customer service

  • Operate an efficient, professional and courteous service with a strong focus on excellent customer service.

  • Effectively manage and respond to high volume information requests and queries, providing efficient and accurate responses in line with expected standards of service.

  • Deal with potentially delicate situations, or with demanding customers, in an appropriate and professional manner.

  • Provide cover (during lunch/annual leave) to the HR front desk operating a professional service at all times.

  • Offer timely responses to queries from HR partners, managers and staff in the School, escalating where necessary. Recruitment:

  • Provide logistical and administrative support for allocated recruitment campaigns and proactively keep the recruiting manager and HR Adviser informed of progress.

  • Support end-to-end recruitment campaigns for professional services posts.

  • Organise interview invites and request references.

  • Set up academic selection committees, including finding panel members, booking rooms, ordering catering, organising AV equipment and meeting and greeting candidates on the day.

  • Prepare interview packs for selection committees.

  • Respond to requests for applicant feedback in consultation with the HR Adviser and recruiting manager.

HR Administration:

  • Contribute pro-actively to a range of meetings, including team meetings, staff briefings and working groups that operate within HR.

  • Minute casework meetings for HR Partners on a rotational basis, ensuring accurate and timely minutes are produced. Provide cover for other HR Administrators when absent or involved in HR casework.

  • Act as a Web Contributor for the HR website, working with HR Web Authors to ensure allocated web pages are up-to-date and accurate at all times.

  • Actively support the streamlining of processes and identifying management information (MI) and system requirements that both support and add value to the work of the HR Division.

  • Run Management Information reports to provide information for HR colleagues and managers across the School.

  • Support monthly filing of personnel information and maintaining of staff records.

  • To support the HR Division in maintaining and ensuring the School remains compliant with UKVI regulations for its entire workforce including making sure all appropriate paperwork is stored and maintained. Contracts & HR records

  • Prepare contractual letters for staff new and existing working in designated areas of the School, including but not limited to, appointment letters, promotion letters, change of hours letters, contract extensions etc. (for all staff groups).

  • To ensure staff records are maintained on the HR System, ensuring accurate and timely input of HR data into the HR system/database (ResourceLink) in accordance with set timelines.

  • Development:

  • Pro-actively take initiative for continuously identifying and improving the service, processes and delivery for the areas of responsibility associated with this role.

  • Pursue personal development, with the support of the line manager, by identifying own training needs and undertaking training.
