37 Hours per week (Hours may vary depending on school schedule)



Purpose of the Role




  • To provide comprehensive and confidential administrative support to the Principal.

  • To be responsible for day-to-day HR administration, including staff recruitment and the implementation of the absence management policy.

  • To support the administration of the Local Governing Committee, including attendance and minute-taking at all meetings.

  • To oversee the college reception and switchboard.

  • To receive, prioritise and allocate general administrative tasks.



Relationships




  • The post-holder will report directly to the Principal.

  • The post-holder will line manage reception staff, and other administrative staff by arrangement.

  • The post-holder will work closely with staff,


Duties



Administrative support for the Principal




  • Diary management and co-ordination.

  • Dealing with enquiries on behalf of the Principal, from parents, governors and other stakeholders.

  • Ensuring the effective functioning of front-of-house, reception & switchboard services.

  • Typing, emailing, filing, photocopying, data entry and other administrative tasks as required.

  • Screening of telephone calls and visitors, and taking appropriate action and providing clear and concise summaries of messages.

  • Booking and organisation of meetings and events.

  • Booking of travel and accommodation.

  • Taking minutes of meetings, including the weekly SLT meeting.

  • Ensuring that all Academy policies are securely stored and up to date, and that relevant policies are available on the website.



Clerking support for the Local Governing Committee (LGC)




  • Preparing and distributing agendas for meetings

  • Attending and taking minutes of all LGC meetings, including evening meetings.

  • Maintaining of an up-to-date record of Governors and their contact details.




Human Resources Administration




  • Storage and updating of personnel records, including on SIMS.

  • Responsibility for the administration of staff recruitment, including:

    • Placing job advertisements in the press as required.

    • Inviting candidates to interview

    • Requesting references for candidates

    • Assisting with the organisation of the interview process.



  • Ensuring compliance with the Managing Sickness Absence Framework, including arranging absence management meetings as required.

The post holder will be expected to undertake professional development as appropriate to the post and in the context of personal development.



Other Requirements


From time to time, the post holder will be required to vary their working hours to fit in with the Academy calendar. This will be directed by the Principal. Advance notice will be provided.



Essential Skills




  • Grade C or above in GCSE Maths & English

  • Experience working within a HR or Governing Body position

  • Ability to work quickly and efficiently

  • Strong verbal and written communication skills

  • ICT literate

  • Ability to relate well to people of all ages

  • Willingness to take on new challenges

  • A flexible approach
    Prepared to accept responsibility for the safeguarding



Desirable




  • Experience working within an educational environment

  • Experience working as a PA


Previous experience of managing administrative staff
