HR Recruitment Assistant

Location: Uxbridge

Salary: £12.80-13.41

Duration: ASAP,

Main accountabilities:

Working as part of a team to provide flexible administrative support to the HR Operations Team, staff and managers within the University within the remit of the University Strategic plan.

The aim of the post is to support the HR Operations team in their roles of providing HR services covering the full range of employee lifecycle activities in accordance with service level agreements, KPIs and standard operating procedures.

Whilst post holders may be required to provide services to designated client areas of the University, they may be required to provide cover for other areas and support HR colleagues in other teams depending on operational and developmental needs

Key duties and responsibilities:

  • Work collaboratively as a member of the HR Directorate; encouraging effective communication and teamwork and sharing expertise; working with a common purpose and a collective directorate voice.

  • Support all HR administrative procedures and systems with a commitment to high quality customer service including:

− Administrative support for recruitment and selection

− Contract management

− Assisting with general enquiries in person, via telephone or email

− Assisting with payroll preparation

− HR/Payroll database administration i.e. data entry, maintaining personal records etc − Leaver administration

− Reference requests

− Absence management administration

− Probation administration − Family leave and flexible working advice and administration

− Administrative support for organisational change (including redundancy and redeployment

  • Ensure an efficient and effective recruitment service is provided to recruiting managers at all times.

  • Manage the administration of the employee life cycle from starters through to processing leavers

  • Ensure relevant pre-employment, ID, right to work and qualification checks are carried out in a timely manner and that all records are kept up to date.

  • To input/verify employee information held on the integrated HR/Payroll system ensuring that the information held is maintained accurately

  • Ensure that all employee records, electronic and, where appropriate, paperbased are maintained, ensuring compliance with the requirements of the Data Protection Act, GDPR and UKVI.

  • Assist the team with the regular data cleansing reports e.g. fixed term contract expiry; expiry of eligibility of right to work document checks; missing line managers; recruitment activity in application tracking system and supporting as required

  • Support HR projects, e.g annual driving licence check, annual archiving employee files
