Working for the Richmond/Wandsworth Shared Staffing Arrangement


This role is employed under the Shared Staffing Arrangement between Richmond and Wandsworth Councils. The overall purpose of the Shared Staffing Arrangement is to provide the highest quality of service at the lowest attainable cost.


Staff are expected to deliver high quality and responsive services wherever they are based, as well as having the ability to adapt to sometimes differing processes and expectations.

Job Purpose


The main purpose of the post is to coordinate project and administrative support for the Lifelong Learning management team.


This will involve:


* providing assistant project management and administrative support to the Head and Deputy Head of Lifelong Learning;
* assisting team leaders in developing and implementing identified education and training projects and events; and
* collating and in-putting data to support communication, service planning and development.


Specific Duties and Responsibilities


Administrative Support for the Head and Deputy Head of Lifelong Learning


* Responsible for the provision of a comprehensive confidential administrative support to the Head and Deputy of Lifelong Learning. This includes communication and liaison with senior officers throughout the Council, government departments, governing bodies, employers, headteachers and principals.


* Undertakes a range of administrative duties, including typing minutes and reports, ensuring that work is produced accurately and to deadline.


* Maintains the Head of Lifelong Learning's diary, making appointments and arranging meetings with a variety of senior officers, members, and organisations.


* Records and highlights items of urgency, special concern and sensitivity, sorts outgoing papers, distributing and taking action on any items as directed; drafts acknowledgements and responses on behalf of the Head of Lifelong Learning.


* Receives and welcomes personal callers, redirects telephone calls and deals with complaints, enquiries, and progress chases replies.


* Keeps up-to-date with changes in the organisation and policy of the department, to ensure an effective response to the many and varied enquiries generated by the users of the services.


* Arranges and clerks the Lifelong Learning Team meetings and other meetings as required. Ensures that action required on the part of team members is taken and updates the Head of Lifelong Learning accordingly.


* Uses e-mail for internal and external communication and the relay of documents. Accesses information and documents through the internet. Assists with investigating and developing of administrative systems to support the efficient functioning of the Section as required.







Supporting Project Management and Promoting Events


* To work closely with the Head and Deputy Head of Lifelong Learning to plan and market courses and events.


* To assist in planning key education and training events throughout the year. This will involve identifying tutors and other related support and services. Events include: Adult Learner Awards, Festival of Learning, Family Learning Festival, Learning at Work Week.


* To support Team Leaders in the preparation and dissemination of marketing materials. This will involve the distribution of materials in hard copy and e-formats, with effective use of social media and e-mail.


* Undertakes research on education initiatives as directed by the Head of Lifelong
Learning.


* To manage the administration of the European Social Fund (ESF) projects, ensuring that managers are fully aware of evidence and audit requirements.


* Communicate with learners and employers to seek feedback on service provided and ascertain destinations and additional support required.


Information Technology


* Act as the first point of contact for the IT System Administration for the server and section network. Liaise with contractors and suppliers for any maintenance, support and purchases of new equipment.


* To undertake Workstation Assessments for the Lifelong Learning department.


* To maintain up to date records of all hardware in the Lifelong Learning department .



Generic Duties and Responsibilities


* To contribute to the continuous improvement of the services of the Boroughs of Wandsworth and Richmond.


* To comply with relevant Codes of Practice, including the Code of Conduct and policies concerning data protection and health and safety.


* To adhere to security controls and requirements as mandated by the SSA's policies, procedures and local risk assessments to maintain confidentiality, integrity, availability and legal compliance of information and systems
