Job Role

Responsibility for the administration of Logistic and Supply Chain functions, reporting to Scheduling Manager (primary element), and administration support with certain Quality Assurance-related tasks, reporting to the Quality Manager (secondary element). Ability to work independently and manage fluctuations in workload, particularly at month end periods.

Key Responsibilities:

Logistic Functions:

  • Releasing and raising of documentation to allow shipment of product, including: -

    • Cofc

    • Pack Slip

    • Packing List

    • ASN

    • Invoices

  • Generation of shipment packs and arranging of collections of released products

  • Communication with customers on despatch status

  • Processing of invoices to customers, via post and e-mail to ensure prompt payment

  • Maintaining up to date filing of records

  • Clearance of imports with external couriers

  • Liaising with Dispatch, Final Inspection and Operations on items planned for dispatch

  • Support for Dispatch stock take activity and monitoring of Perpetual Inventory

Supply Chain Functions:

  • Generation of Sub-Contract Purchase Orders and Release notes

  • Sub-contract GRN on Aventa System

  • Maintaining of records and ensuring system accuracy (WTL)

  • Liaising with Finance Department to ensure sub-contract invoices are verified and approved

  • Responsibility for sub-contract stock take activity

Operations Administration Functions:

  • Split batch processing

  • Job card generation and printing

  • General operational support through system maintenance (Aventa / WTL)

  • Providing back up to Scheduling Manager where required on updating and issuing of key business reports (Daily Outputs, Sales forecast)

Quality Assurance Functions:

  • Assisting with documentation management, revision control and records retention

  • Co-ordination assistance with administration of compliance related activities

  • Providing support as required with ad-hoc projects
