Office Administrator (with Accounts)

Current duties:
*Working closely with management discussing upcoming events, meetings, client entertainment, travel etc.
*Board Meeting preparation (including Directors travel)
*Travel & Accommodation booking for staff and clients
*Accounts payable
*Current account reconciliation, monitoring cashbooks
*Staff expense claims
*Petty cash monitoring and reconciliation of cashbook and cash in box (liaising with management for cash in)
*Disbursements: preparing recharges for clients on expenses incurred. Communicating re preparation of invoices
*Monitoring staff mobile account and phones
*Ordering staff travel cards
*Staff Annual leave (sickness and study leave)
*Stationery supplies inventory - ordering and stock-taking
*Facilities management - including maintenance of office premises and ordering of any new furniture required, cleaning services, decoration, plumbing, etc.
*Monitor and Order catering, hygiene and cleaning supplies
*File Storage Solutions
*Assistance with any ad hoc tasks that may arise, i.e. tying, printing, binding,
*Photocopying of annual financial statements, scanning and filing
*Printers / IT Hardware maintenance and ordering of consumables

Reception Duties:
*Telephone - answering calls, taking messages
*Answer intercom for front door (video camera view)
*Boardroom preparation for meetings - refreshments, setting up room
*Receiving visitors
*Post in and daily electronic scanning & tagging of post, and distribute to staff
*Boardroom calendar and booking meetings, liaising with staff and clients
*Booking restaurants / catering for board meetings
*Booking couriers and maintain courier log for recharge
*Kitchen tidy and organisation (including supplies)
*Ordering taxis
*Post-room, maintaining stamps (ordering when necessary) sending post out, typing address labels, Registered and Express post envelopes and going to post office
*Monitoring the glass recycling bin and organising collection and emptying (monthly)
*Ordering water for water coolers, and bottles for boardroom
*Communication with hotels re annual rates / client's preferences
