Job Title: Operation Administrator

Location: Kings Cross (Will be in moving to Farringdon)

Salary: £25,000 - £27,000 per annum


Purpose of the Role: To support the Central Operations teams in their work, providing a positive and efficient working environment. Support includes the HR, IT, Marketing & Communications and Legal Team, as well as ensuring the London Office is Set up.

My well-established client is a technology company who focus on strategic investments into start-up companies that support the research life cycle are looking for an Operations Administrator to be the main support for their Operations teams!

Key Responsibilities:

Provide administrative support to the company's central operations functions, including, but not limited to:

Human Resources:

  • Recruitment administration eg. inviting candidates to interview, room booking, escorting to and from reception, arranging travel for candidates, tracking applicants, sending template letters eg. regret letters

  • On boarding & off boarding activities relating to the office eg building access, office tours for new starters

  • Personal file creation, keeping the HR wiki to update, answering routine and general HR queries.


  • Document management support - eg storage, organisation, DocuSign

  • Organising, disseminating available central policy & legal documents

  • Maintaining records of contracts, policies across the businesses, liaising with owners

Marketing & Communications:

  • Act as first point of contact for telephone or general email enquiries

  • Support creation of marketing materials, liaise with storage provider for maintenance and recall

  • Support collation and cleaning of information for marketing reports

  • Support management and posting to social media platforms and blog sites

Facilities & Office (London):

  • Supplies management (inc. multi-functional devices, stationery, phones)

  • Receipt and delivery of office post

  • Security registration and visitor access

  • Support organisation of social events for UK and, on occasion, global events

  • Meeting room administration, including booking and administering board and senior management meetings level Keeping the office presentable and tidy

  • Arranging desk set up and assessment


  • Respond to and close routine and basic service desk tickets - including on-boarding, off-boarding and systems access

  • Ordering and taking receipt of equipment

  • Cover along with wider group technology team during Systems Administrator holidays


  • Providing first port of call for all office related inquiries from portfolio companies and staff

  • Support to Managing Director and senior members of the DS Management Board. Including but not limited to:

  • producing accurate expense claims

  • the coordination of travel itineraries hotel accommodation

  • visa applications

  • Manage procurement card for central purposes

  • Other tasks and requirements as reasonably required.

Skills & Knowledge:

  • Highly organised with the ability to work with multiple teams with different priorities

  • Excellent computer skills with comprehensive knowledge of Office Applications Software and the web

  • Able to manage and prioritise a varied workload under pressure

  • Must be a team player who values the success and reputations of the team
