We have a great opportunity to work with a prestigious Higher Education client based in Central London.

Role: Operations Assistant

Pay: £15.01

Duration: 4 months

Working pattern: Hybrid working - you must be able to travel to Holborn, London

Job Summary:

The Operations Assistant (Executive Support and Projects) is responsible for providing excellent administrative support to the Director, managing all aspects of their professional agenda, liaising with internal colleagues, external stakeholders, professional organisations and networks, balancing competing commitments to maximise the Director's time, impact and effectiveness.


  • Respond to a wide range of routine questions and queries on behalf of the Director from students, alumni, employers, staff and the public, in person, by phone, online and through our CRM system and by email

  • Draft and prepare emails and communications for internal and external distribution

Teamwork and motivation

  • Deliver on-the-job to the Director and Division's management team, supporting, assisting and covering others when necessary

  • Provide ad-hoc support with the day-to-day operational management of the Division's human, financial and physical resources through a wide range of administrative and project support duties

Liaison and networking

  • Participate in internal and external networks

  • Develop and maintain effective working relationships across the School to support the work of the Director

Service delivery

  • Help to design and implement administrative related processes, systems and policies

  • Ensure that work is produced to the required standard and distributed in a timely manner; occasionally involving working under pressure and to binding deadlines

Person Spec:

Educated to degree level or equivalent, with English and Maths GCSE or equivalent

Experience and good knowledge of MS Office

Experience of maintaining and implementing administrative systems

Experience of directly supporting colleagues with a wide range of tasks

Previous higher education experience or interest and proven ability to develop a deep understanding of administrative and operational processes within a similar context

Experience of working in a PA/EA role

Experience of dealing with face to face, telephone and email enquiries from students/clients/customers

Strong written and oral communication skills, including the ability to write and convey specialist information in a clear, concise and accurate manner to and for a wide range of people

Experience of diagnosing the needs of clients and recommending the most appropriate service or source of information

Evidence of writing and disseminating meeting minutes clearly and accurately
