Location: Kingston

Salary: £17.56

Duration: Starting ASAP until the end of September 2022

Contract type: Temporary. Hybrid working (3 days on campus, 2 days home working)

Hours: 30-37 hours per week

Roles and responsibilities:

To provide effective and efficient executive support for Faculty leadership, management, and administration.

To manage a set of Liaison and Support Portfolios and Personal Assistant Portfolios assigned from those set out under roles and responsibilities.

For Liaison and Support Portfolios to

  • Understand standard University processes, helping staff to use them, and solving problems

  • Manage related Faculty activities, records, and information.

Personal Assistant Portfolios to

  • Provide secretarial support and clerking

  • Manage communications, documents, websites and Team site

  • Manages diaries, travel, and purchasing

To work flexibly as part of the Faculty Support Team, and to cover other members of the Team as required.

  • Maintain knowledge of university personnel processes, and assist Faculty staff in using them, including (but not limited to) Faculty recruitment, induction, progression, and leaver administration

  • Maintain staff records where needed to supplement University systems, including records for adjunct faculty, visiting academic staff, and agency and consultant staff

  • Assist in the recruitment and management of senior academic and professional posts in the Faculty

  • Ensure that staff related sections of Faculty teamsite and website are up to date

  • Maintain knowledge of university finance processes, and assist Faculty staff in using them, including (but not limited to) raising requisitions and processing payments for suppliers and guest lecturers

  • Maintain contract records, and other finance-related records where needed to supplement University systems including

  • Maintain knowledge of university estates, Facilities, and IT/AV processes, and assist Faculty staff in using them
