An exciting opportunity has arisen for a PA to join a private sector organisation based in Dagenham.

The role will be to provide an efficient and effective Personal Assistant function to the Chief Executive and support to the Executive Management Team to ensure the smooth and effective running of the company.

The successful candidate would have previous experience working in a Executive Assistant or PA role at Chief Executive or Director level, with experience of taking minutes at board meetings.

Key duties would include:

  • To provide efficient and professional corporate PA support to the Chief Executive and the Executive Management Team including working across all areas of the business where required

  • To oversee organisation and coordination of the Chief Executive's continually changing schedule, including efficient and proactive diary management. To arrange meetings, including the coordination of diaries, checking and updating the corporate calendar, circulation of agendas/papers, selecting and arranging venues and refreshments

  • To attend and minute meetings and prepare/collate materials as required. To organise, bring forward, prepare agendas and other documents for meetings. To support the Executive Officer to service the weekly meeting of the Executive Management Team

  • To ensure appropriate arrangements are made for travel and accommodation for the Chief Executive and Executive Management Team when engaged on official business

  • To make sure the Chief Executive is fully prepared for visitors. To undertake a hospitality role at functions, making sure that greetings and introductions of those present are made to other relevant parties

  • To deal with enquiries to the Chief Executive, as a first point of contact, and providing a gate-keeping service, including dealing sensitively, and where necessary, sympathetically, with complaints, making sure they are referred to the most appropriate person without delay

  • To provide a full word processing service, using Microsoft Office, Outlook and other IT packages as required including audio and copy typing work, preparing confidential and sensitive correspondence, reports, statistical data including board reports and other documentation. To oversee the design, development and preparation of high quality presentations

  • To draft responses on behalf of the Chief Executive and make sure that correspondence is dealt with to the highest standard

  • To provide support to the Chief Executive in the preparation and submission of management reports

  • To maintain an up to date Outlook Contacts file for quick and easy reference and prepare mailing lists
