We are recruiting for a PA to provide a confidential administrative and secretarial support service to Trust HQ at Wesmorland General Hospital in Kendal, primarily to an Executive Director to enable them to perform effectively within a large multi-site organisation covering a large geographical area. The role is tempoary for the first 20 weeks, however has the potential to become permant for the right person.

This role is offered on a hybrid working basis. 2 days in the office and 3 days at home. Monday to Friday 08.30am-17.00pm. This role is temporary initially but could become permanent for the right person.

Main duties

To receive all correspondence addressed to the Director and to record, sort and distribute the correspondence as appropriate.

To draft personal replies to correspondence requiring knowledge of the wider organisation.

To prepare routine replies to correspondence for signature as instructed by the Director.

To organise the Directors diaries and appointments, including arranging meetings, booking rooms, arranging appropriate hospitality, collating relevant papers etc, travel / accommodation.

To attend meetings as appropriate, taking minutes for subsequent transcription and distribution.

To organise and manage the Directors filing and bring forward systems to ensure that documentation is available as and when required.

To prepare and type statistical information on behalf of the Director and senior executives in a timely fashion and to ensure that any such information is presented clearly and accurately.

To complete monthly expense accounts/travel claims for senior executives.

To monitor and co-ordinate annual and study leave on the part of the Directors and his/her

senior team to ensure adequate senior management cover.

To answer the telephone for the Director and either deal with enquiries personally, or re-direct

as appropriate.

To prepare requisitions for new/replacement non-stock requirements for signature by the

appropriate budget holder.

To prepare the Directors weekly schedule of appointments.

Oversee prioritisation of own workload and completion of shorthand and audio dictation/word processing.

To provide appropriate support to new/junior staff.

To provide PA support for absent colleagues as and when required.

To provide administrative and secretarial support to other Directors/senior managers as


To communicate promptly with senior executives regarding urgent and non-routine issues especially when they are off their base site.
