3 MONTH ASSIGNMENT (POSSIBILITY OF EXTENSION)

MAIN PURPOSE OF THE ROLE:


To provide an efficient and comprehensive personal assistant and administrative support service for Head of Service and the Children's Centre Management team collectively.



Key Tasks



  1. Respond appropriately on behalf of Head of Service and Operations managers in day to day contact with customers, all Department employees, outside agencies and Members.

  2. Be sufficiently conversant with the work of the Head of Service and the operation of the Centres, to be able to assess relative priorities.

  3. Carry out Personal Assistant duties to the Head of Service and Operations managers as required, including maintaining diaries, filing, bring forward systems, arranging appointments, refreshments and coordinating meetings.

  4. Provide a high standard of accurately typed reports, correspondence, and presentations.

  5. Organise, attend and service meetings as required by the Head of Service ensuring decisions arising from the meetings are actioned.

  6. Assist the scheduling of work in the Service and set up and maintain appropriate systems to ensure timescales are adhered to, including progress monitoring.

  7. Undertake support work for the various management meetings. This involves providing support and undertaking duties for the central management team.

  8. Provide daily cover for other Administrators within the service as required.




  1. Organise conferences, seminars, and workshops, take notes as required and action decisions taken, code invoices and passing for payment appropriately.




  1. Deal with routine correspondence using own initiative



Key Requirements:



  • The person will need to have extensive minuting and PA experience, be able to prioritise their tasks and be able to work as part of a team.

  • They must have excellent MS Outlook, Word, Excel and MS Teams knowledge and able to complete tasks accurately even when under pressure.

  • The role will involve being on a rota to attend County Hall Lewes to provide support to the Executive Director and complete essential tasks.


Shifts



  • 37 hours a week

  • Rota basis County Hall Lewes and working from home

  • The office hours will be 830 - 5 Monday -Thursday and 8.20 - 4.30 on a Friday. The remaining days will be working from home.
