Salary: £25,000 - £30,000 per annum

Hours: 08:45 - 17:15 (17:00 on Friday)

Days: Mon - Fri

Location: Watford


Job Purpose: To provide PA support to VP level Executives. Manages highly confidential, complex and sensitive information, exercising appropriate discretion, working closely with the wider PA team.

Key responsibilities and accountabilities:

· Managing complex diaries across different time zones, maintaining a constantly changing calendar, scheduling and re-scheduling appointments including booking the required spaces and equipment

· Planning extensive multi-trip travel itineraries, planning and co-ordinating business travel and accommodation - nationally and internationally - as required, obtaining relevant documentation and visas prior to travel and adhering to the expenses policy and processes

· Managing and coordinating meetings, including, minute taking, associated information flow, and maintaining records and files.

· Recording and processing expense claims, having the confidence to question any items that exceed policy.

· Responsibility for raising purchase requisitions in respect of the Office expenses.

· Responding to telephone and email enquiries, resolving where possible and re-directing where necessary.

· Being a point of contact for visitors (organising hotels and ground transportation).

· Organising events as required, taking charge of all catering arrangements and invitations.

· Presenting a professional image when dealing with both internal and external contacts and to act in a professional manner at all times

· Complying with and promoting all relevant legal requirements and Smiths policies and procedures, including business ethics, data protection and health & safety

· Provide support to the Group IT Director when his PA is on annual leave.

Knowledge/skills/other attributes:

  • Ability to handle multiple requests at one time and to prioritise and manage time calmly and effectively.

  • Can demonstrate a high standard of accuracy and attention to detail.

  • The job holder deals with highly sensitive and confidential information. They must be discreet, tactful and diplomatic and be able to work independently using their own initiative.

  • Sound knowledge of computer systems, particularly Microsoft Outlook, Word, Excel & PowerPoint.

  • Able to cope with a busy office environment
