We are looking for an experienced PA to work 2 days per week (Thursdays and Fridays) supporting the Divisional Director with our client in East London; this is a temporary 3 month contract.

Duties are as follows but not limited to:

  1. To ensure that an effective secretarial and support service is provided at all times to the nominated Divisional Director and Directorate Management Team.

  2. Liaising effectively and assist with telephone enquiries from outside bodies and Members of the Council, Head Teachers, Governors and other Council staff.

  3. To ensure that Support Services develop and maintain the highest possible standards in terms of overall presentation and customer service.

  4. To develop and maintain a thorough understanding of the Directorate's core work areas in order to ensure strategic linkages and appropriate and timely dissemination of information including for complex and confidential service users information.

  5. To maintain appropriate databases which support provision of effective management information for the Directorate Management Team.

  6. To provide effective secretarial and administrative support to DMT and the Senior Management Team of the Directorate.

  7. To carry out specific research projects for the Heads of Service ensuring that projects are delivered to agreed standards.

  8. To anticipate core requirements of the Divisional Director in terms of preparing background papers, organising events and drafting complex statistical and graphical presentational material.

  9. Develop and maintain effective communication and liaison both within and outside the Council with elected Members, other Council Directorates, community, business and other relevant organisations dealing with confidential and complex issues.

  10. To manage and co-ordinate the diary of the Divisional Director and provide a full meeting administration service as required for the Divisional Director.

  11. Draft correspondence as required and deal with calls to the Divisional Director and the Directorate Management Team efficiently and courteously at all times.

  12. To undertake research on a variety of issues, enquiries and complaints for the Divisional Director involving liaison with other officers, Members and outside organisation and presenting information in a variety of formats as required.
