Aim of the role

  • Manage the retail activities of the Shop

  • Assist with the coordination of the rota for shop and trolley volunteers

  • Help to raise the profile of the charity by promoting and marketing the business

  • Take active part in Shop Committee activities, helping to promote the charity, raise its profile and maximise its profitability

Key result areas

  • Smooth and efficient running of the shop and trolley at all times.

  • Coordinate volunteer rotas to ensure sufficient spread of volunteers for shop and trolley duty

  • Ensure shop and trolley volunteer staff are sufficiently trained, customer focused, and knowledgeable on shop products

  • Support healthy profit margins through efficient stock ordering, stock control and marketing activity

  • Promote sale of Guild branded souvenirs

  • Responsible for daily / weekly / monthly shop takings reports

Main duties and responsibilities

Retail Shop Management

  • Support the activities of the charity by supervising the retail shop and trolley service on behalf of the charity

  • Day to day oversight of the retail sales in the shop

Financial Responsibilities:

  • In depth knowledge of smart till

    • stock ordering

    • stock control

  • Daily takings, ensuing that money taken matches daily till reports

  • Timely and accurate payment of invoices

Operational Delivery:

  • Regular reporting to shop/management committee on sales of goods, marketing activity, profitability etc

  • Use of smart till technology, including back office functions to analyse product sales, stock control, and support management reporting

  • Ad hoc duties as and when requested by Line Manager and / or members


Good knowledge of Microsoft Word and Excel. Competent use of computer and good keyboard skills, ie emails, printing and scanning, advanced use of internet for research and purchasing purposes, use of smart tills and accounting function.

Physical Effort

Stock deliveries, shelf filling, restocking drinks chiller, stock-taking, trolley rounds

Able to multi-task, ie manage the shop business

Actively contribute to the aims of the shop committee, take part in initiatives and deliver results to deadline

Dealing with ad hoc volunteer issues/queries

Dealing with potential customer complaints

Positive and enthusiastic outlook

Working Conditions

Able to provide a high level of customer service to all customers (includes hospital patients, staff and visitors)

Ensures office area and stock room are kept clear and tidy at all times

Able to work flexibility (hours, days) to cover for volunteer shortfalls
