Part time Team Assistant


Office Location: London


Salary: 21k


This is a Part-time Maternity cover role. Working days are 3 days a week.



Duties and Responsibilities


� Carry out day-to-day administrative duties including:



  • Diary management for the Directors in the team

  • Arrange team meetings and events

  • Book travel/hotels and restaurants

  • Update Managing Director with team's annual leave and sickness

  • Arrange client meetings/conference calls

  • Work collaboratively with the Hotels Sector PA

  • Update information on the Salesforce system to ensure client and company records are correct

  • Deal with telephone and email enquiries politely and efficiently

  • Cover reception and cover other support staff during absence

  • Ensure health and safety policies are followed

  • Occasional ad hoc duties


� Help with of key internal monthly tasks:



  • Raise invoices

  • Update outstanding debtors report

  • Send approved invoices to accounts team for payment



Assist the team with management of certain aspect of agency projects including:



  • Approve marketing Proofread/sanity check text

  • Upload custom PDFs, process images, floor plans

  • Manage data rooms for projects (creation, populating, approving new entries, extract data )

  • Help the team with compliance duties; e., Anti-Money Laundering for sellers and buyers

  • Liaise with the Marketing department as required

  • Amend and adjust presentations, including sales details and pitch presentations

  • Use Promaps tool



Person Specification


Skills and Experience



  • GCSEs or equivalent at grade C or above in Maths and English

  • Minimum of 2 years of previous experience within a similar role

  • Good working knowledge of Microsoft Office (Word, PPT, Excel)

  • Numerate

  • Copy typing skills

  • Strong verbal and written communication skills

  • Highly organised and self-motivated

  • Knowledge of the property industry

  • Knowledge of Salesforce
