Our client, a blue-chip Healthcare company based in Maidenhead are looking for an experienced PA/Team Support person to join their Regulatory Affairs Team.


Administrative duties:


Arranging/organising meetings/courses/activities/events:



  • Providing regulatory and administrative support to teams

  • Co-ordination of departmental projects and external/internal meeting

  • Onboarding new starters/contractors/consultants

  • Diary management

  • Booking courses

  • Arranging travel, transport and accommodation (via online travel system)

  • Arranging visas (via agent)

  • Providing administrative support between other EPD teams and divisions

  • General admin work including filing, stationery ordering, post, photocopying

  • Maintaining and creating departmental databases

  • Member of Maidenhead site Administrative Meetings

  • Organise yearly events

  • Providing admin support for Head of department/team members when in Maidenhead


Finance:


Manage all Finance related activities for relevant teams



  • Liaise with Finance and relevant teams with queries

  • Setting up Purchase Orders & New Vendors with Finance systems

  • Keeping a detailed excel database of all vendors

  • Provide training on systems


Health and Safety:


You will be a member of Maidenhead Site H&S Committee



  • Meet every quarter

  • Feedback to team


General Responsibilities



  • To liaise with other Assistants/Administrators within and between Teams and divisions to share best practice and where appropriate to provide cover for other EPD Assistants/Assistants within the department

  • To use company admin systems and processes in line with policies and guidelines

  • To comply with the Company's policies and procedures to meet statutory, quality and business requirements within the overall strategy and objectives of the company

Workday, ISO Train, LERN, Absence Manager, Concur, Symphony Finance, SMART, ITSM-Software/hardware, Resources in Intranet, Sharepoint



IDEAL BACKGROUND


Experience and knowledge: previous experience in a similar complex organisation.


Skills: Microsoft Office Suite


Word Processing Stage 3 or equivalent


Effective communication - written and verbal

Education: GCSE English and Maths or equivalent
