Payment Operations Executive

Team: Payment Operations

Reports to: Group Back Manager


To provide payments operations for the domestic and international Financial Institutions Group business to ensure all customer transactions are processed compliantly, accurately and timely and support Hong Kong team with payment operations.

40 hours per week from Monday to Friday, including bank holidays where required, between hours anywhere between 7.30am - 7.00pm

Payment Operations:

  • Create template payment instructions for each new client and process test transactions to validate

  • Monitor incoming customer payments and queue transactions for processing payments

  • Process customer Payments via SWIFT following settlement

  • Ensure customer payments are processed

  • Raise invoices

  • Provide support with day to day payment queries

  • Investigate payment queries to completion, contacting external partners where necessary

Funding & Defunding of Federal Reserve account

  • Monitor incoming credits to FFRBNY bank account

  • Transfer funds out of FRBNY bank account in compliance with internal procedure.


  • Perform daily bank account and client reconciliations

  • Inform sales teams of unsettled customer transactions

  • Investigate to conclusion any overdrawn bank accounts

  • Oversee the usage of internal accounts

General Activities:

  • Liaise with sales and operations teams

  • Monitor team mailbox to ensure all emails are processed within agreed time frames

  • Assist with internal and external audit requests

  • Assist with project work as and when required

  • Adhoc tasks will be required of the role, based on company needs

Key performance Criteria

Skills and Competencies:

  • High level of accuracy, well organised and articulate

  • Payment experience yes including query management and processing background

  • The ability to work under pressure in a fast-paced environment

  • Good organisational and prioritisation skills

  • Proficient in EXCEL & Word

  • Good knowledge of reconciliations and investigations
