Personal Assistant


Type: Temporary, Maternity cover


Duration: 10-12 months


Hourly rate: £15 ph


Location: Belfast


Start date: ASAP


Hours: 37.5 hour week, Monday-Friday



We are seeking an experienced and confident Personal Assistant to join my client's busy team. The successful candidate must be experienced with supporting at CEO/Director level, minute taking and diary management.



Duties:




  • Manage the Director's diaries to ensure their time is managed effectively, process official correspondence and actively network.

  • Take initiative and seek advice on meeting requests.

  • Proactively make decisions on when to schedule meetings and be confident in changing meetings arrangements at short notice and juggling the diary when required.

  • Make recommendations on travel and accommodation arrangements.

  • Manage meeting arrangements where required.

  • Draft responses to invitations and liaise with a wide variety of people (Internally and externally) to arrange meetings.

  • Commission a briefing with support of the Director and Senior staff, as well as take notes of meetings when required (Minute taking)

  • Proactively handle official correspondence, identify the appropriate team members, and ensure the correspondence is auctioned to ensure that correspondence meets the Department response targets.

  • Maintain accurate filing systems in accordance with record management instructions.

  • Process the expenses the Directors and ensure value for money.



Requirements:




  • Previous experience supporting at CEO/Director level

  • Confident minute taker

  • Strong diary and travel management experience

  • IT literate

  • Confident manner, must be able to challenge senior management team when needed

  • Take initiative, must be able to know when you push back, when to give more and when to hold off

  • Experience processing expenses

  • Strong administrator

  • Organised and reliable
