Personal Assistant Job Description


We are recruiting for a Personal Assistant who can assist the Finance Director with diary management, making travel arrangements, organising meetings, taking minutes and carrying out general office duties. The ideal candidate for this position will have previous experience of working as a personal assistant, and be a self-starter who can work well in a constantly changing environment.


Responsibilities include (but are not limited to):



  • Manage the Finance Director's diary and prioritise meetings effectively

  • Make travel arrangements for the Finance Director and his team as required

  • Book and organise meetings, including liaison with external venues as required

  • Produce meeting minutes

  • Manage email and paper correspondence for the Finance Director and his team as required

  • Work with fellow personal assistants to co-ordinate Director's diaries and provide cover for each other where needed

  • Maintain accurate paper and electronic records


Skills and requirements



  • Previous experience working in a similar role

  • Proficient in all Microsoft Office applications

  • Excellent written and oral communication skills

  • Strong sense of responsibility and ability to complete tasks with minimal supervision


Ability to work to tight timescales and under pressure

  • Candidates will need to be DBS checked (we can provide this)

  • Candidates will be eligible for Civil Service Pension and other benefits of working for the civil service

  • There is normally no parking on site so please be aware that, if successful, you would not normally be able to park at the office (the cheapest car park nearby is £4 per day, about a 10 minute walk. A 10 minute walk from Peterborough train station and bus station)

  • The job is for 37 hours per week and is office based Monday to Friday.

  • Typical hours are 9 - 5 with a lunch break, but can be a bit flexible as long as mutually agreed with the Director

  • Some travel to London / York or other office locations in England may be required, but will be infrequent
