Purpose of the job and tasks
- To support the setup of the Modernisation of back office system programme at East Sussex County Council
- Liaise with individual service managers, business analysts, project managers, Directors, suppliers and board members
- Collect data from a variety of sources in preparation of programme boards
- Create spreadsheets for cost control
- Develop templates with PMO lead for PMO
- Take minutes at MBOS board, checkpoint meetings and any other meeting that requires minutes
- Support the PMO lead in the development of a SharePoint documents structure
- Assist the PMO lead in the review of all documents and versions
- Assist PMO lead in the development of the PMO processes documentation
- Assist PMO lead, business analysts and service leads in the development of project briefs and plans
- Assist in producing regular updates on all aspects of projects to different audiences
- Assist PMO lead in establishing document control procedures for the programme including guidance for users
- Assist SMEs, project managers and business analysts in the preparation and updating of monthly progress reports
- Assist PMO lead in the preparation of Board pack for the MBOS board
- Create schedules to manage the monthly board preparation process
- Maintain and populate RAID Log
- Assist PMO lead in the development of the Programme management methodology for the programme, document processes
- Compile copy and distribute all programme and project management products
Person specification and experience
Knowledge
- An appreciation of project management
- Numerate and good standard of written English
- Good knowledge of MS products
Skills and abilities

- Ability to assess and evaluate situations and information
- Excellent level of IT skills and experience using Microsoft office products
- Good communication skills
