Purpose of the job and tasks

  • To support the setup of the Modernisation of back office system programme at East Sussex County Council

  • Liaise with individual service managers, business analysts, project managers, Directors, suppliers and board members

  • Collect data from a variety of sources in preparation of programme boards

  • Create spreadsheets for cost control

  • Develop templates with PMO lead for PMO

  • Take minutes at MBOS board, checkpoint meetings and any other meeting that requires minutes

  • Support the PMO lead in the development of a SharePoint documents structure

  • Assist the PMO lead in the review of all documents and versions

  • Assist PMO lead in the development of the PMO processes documentation

  • Assist PMO lead, business analysts and service leads in the development of project briefs and plans

  • Assist in producing regular updates on all aspects of projects to different audiences

  • Assist PMO lead in establishing document control procedures for the programme including guidance for users

  • Assist SMEs, project managers and business analysts in the preparation and updating of monthly progress reports

  • Assist PMO lead in the preparation of Board pack for the MBOS board

  • Create schedules to manage the monthly board preparation process

  • Maintain and populate RAID Log

  • Assist PMO lead in the development of the Programme management methodology for the programme, document processes

  • Compile copy and distribute all programme and project management products

  • An appreciation of project management

  • Numerate and good standard of written English

  • Good knowledge of MS products

  • Excellent level of IT skills and experience using Microsoft office products

  • Good communication skills
